Accessing a Password-Protected Chart

Charts may be password-protected by clicking on the "Extra Privacy" button on the patient's main Demographics page.

  

If you need temporary access to a patient's chart that has previously been password-protected, please first contact the individual who set the password for the patient to attempt to locate the password. In many cases, this individual is the chart owner, however this may not always be true. 

If you are unable to locate the password or the individual who set it, please speak to your group's Security Administrator. This person will need to grant you Temporary Emergency Access to patient charts in the system. This may be accomplished by the Security Admin using the following instructions:

 

Granting Temporary Emergency Access:

1.  Access the ICANotes Security Center (using the button in Settings + Directories)

 

 

2.  Enter your ICANotes password.

 

 

3.  Locate the name of the individual who will be getting Emergency Access and click 'Edit'.

 

 

4.  On the next screen, find the "Temporary Emergency Access" privilege and switch the permission to "Yes" by clicking the radio button.  

 

 

5.  Click the green 'Save Button at the bottom to save the settings.

 

 

6. Click the 'Back' button at the top of the User Edit area to return to the user listings.

 

 

7.  Exit the Security Center by clicking the 'Settings & Directories' button.

 

 

The individual who was granted access should not log out. This privilege will revert back to 'Off' if/when the user logs out.

 

Security Administrator can now notify the user that they have been given temporary emergency access and can access the chart.  

 

Accessing the Password Protected Chart:

When a user that has been granted Temporary Emergency Access attempts to access a chart that has Password Protection, they will encounter a series of three prompts.

 

Click the 'Emergency' button to access the chart.

 

 

Another prompt will verify that they want to continue to access the chart due to an emergency. This prompt also alerts them that when they log off, their temporary emergency access will be revoked. Click 'Yes'.

 

 

The final prompt will indicate that they can access the chart. This prompt also alerts them that when they log off, their temporary emergency access will be revoked. Click OK. 

 

 

After clicking 'OK' on the third prompt, they will be granted access to the Chart Face.
