The Calendar Copay Report provides billing and front desk staff with visibility into copay amounts that are received or still owed for appointments within a selected date range. This report helps staff track copay collection activity by encounter and monitor outstanding copay balances.
Users must have the appropriate permissions to access this report.
You can export the report in CSV, PDF, or Excel format, similar to other reports.

To access the Calendar Copay Report:
- Select More from the left sidebar.
- Select Reports.
- In the Report dropdown, select Calendar Copay Report.

Step 2: Using Report Filters
By default, the report includes Appointment Start Date and Appointment End Date filters.
Appointment Start/End Date: Select the date range to view appointments scheduled during that period.
Use the following filters to narrow the results:
- Copay Status: Select whether to display copays that are received or owed. Leave this field blank to include both statuses.
- Copay Received: Displays appointments where copay payments were collected.
- Copay Owed: Displays appointments where the expected copay amount is greater than the amount collected.
Note: A partial payment is still considered a copay owed.
- Appointment Status: Filter results by appointment status, such as Confirmed, Scheduled, Checked-Out, Attended, Cancelled, No Show, or Arrived. You can select one or more appointment statuses at once to filter the report.
- Clinician: Select a specific clinician/provider to view associated appointments. Leave this field blank to include all clinicians.
- Location: Select a specific practice location/site to view appointments associated with that location. Leave this field blank to include all locations.

Step 3: Running the Report
After selecting the desired filter options, click the Run Report button.
The report displays the following columns:
- Client Name: Displays the clientβs full name.
- Appointment Date: Displays the appointment date.
- Appointment Status: Displays the appointment status.
- Note Type: Displays the associated note type.
- Note Status: Displays the status of the clinical note.
- Location: Displays the practice location/site associated with the appointment.
- Clinician: Displays the assigned clinician/provider.
- Source: Displays the payment source, such as Cash, Check, Credit Card, EFT, or Money Order.
- Check #: Displays the check reference number if payment was made by check.
- Copay Status: Indicates whether the copay is received or owed.
- Primary Insurance Expected Copay: Displays the expected copay amount from the primary insurance.
- Copay Received: Displays the amount collected toward the copay.
