Capturing Electronic Signatures on the Note

Overview

ICANotes+ allows authorized users to capture electronic signatures on notes and treatment plans. When you electronically sign a note, your name, signature date, and time are added to the compiled note.

Multiple users can electronically sign the same note when needed. You can also send a co-signature request to another provider. For more information, see the Co-Signature knowledge base article.

Assign Permission to Capture Electronic Signature

Users must have the appropriate permissions to electronically sign notes.

Notes
Only administrators can assign or modify user permissions.

To assign the required permissions:

  1. Go to Settings > Practice Settings > Roles and Permissions.
  2. Select Edit user role for the applicable role.
  3. Expand the Notes section.
  4. Select Sign Notes and Edit Sign Notes.
  5. Save the changes.


Capture an Electronic Signature on a Note

When you compile the note or open the already compiled note, you can see the Electronically Sign button as shown in the screen below:

You can electronically sign a note when you compile it or open an already compiled note.

  1. On the Chart Face, open any note.
  2. Enter or select the required details.
  3. Compile the note.
  4. Click Electronically Sign.



Your electronic signature, name, signature date, and time appear on the note.



Capture Electronic Signatures on a Treatment Plan

You can also capture electronic signatures on a treatment plan after compiling it.

  1. When you are in the client's chart, select the Treatment Plan tab.
  2. Enter or select the required details such as problems, long-term goals, short-term goals.
  3. Compile the treatment plan.
  4. Click Electronically Sign at the bottom-right of the treatment plan.



  5. The Sign Please screen opens.



  6. In the dropdown, select your name.



  7. Capture your signature.
  8. Click Save.



  9. In the dropdown, select the client's name.
  10. Capture the client's signature.
  11. Click Save.



  12. After you capture the signatures, they appear on the compiled treatment plan.




Identify Electronically Signed Notes on the Chart Face

Electronically signed notes are identified by the Signed badge and icon on the client's chart face.

The initials of the users who signed the note appear next to the Signed badge.





What Happens Without the Required Permission

Users who do not have the required permissions cannot electronically sign notes. When they click Electronically Sign, a restriction message appears.



Capture a Manual Signature on a Note

If you need to collect a handwritten signature, you can add blank signature lines to the printed note.

After compiling the note:

  1. In the right pane, select Include blank signature lines for print.
  2. Print the note.
  3. Collect the required signatures from the applicable individuals, such as clinicians, clients, parents or guardians, or other authorized individuals.
