Client Portal Account Balance & Details

Overview

Clients with access to the Client Portal (https://myportal.icanotes.com/login) have the ability to view detailed account information directly in their portal account. This knowledge base article provides an overview of the account information available for clients to view in the portal. 

Activate Portal Access

 For clients not yet setup with portal access, navigate to the Communications tab in their chart and click Activate Client Portal Access

 

 

Access My Account in Portal

To view their account information, clients can login to MentalHealthChart with their established credentials, and navigate to My Account

 


 

In My Account, clients will have access to see their Client Balance as well as Account Details. The details listed in this section are pulled from generating invoices, which sends charges and an updated client balance directly to the portal. Any notes without accompanying invoices generated will not display in the Client Portal. The invoice must be generated first. 



 

 

Here, clients have an itemized snapshot of their recent encounters with the ability to sort and filter specific details, and download copies of invoices and/or superbills generated by the practice from the note. Details include:

  1. Encounter: The specific date and time the healthcare service was provided.
  2. Service: The billing code and a brief description of the service rendered.
  3. Clinician: The name of the provider who performed the service.
  4. Location: The specific office site or service location where the encounter occurred.
  5. Total Charge Amount: The full gross fee for the service before any payments or adjustments.
  6. Total Amount Paid: The sum of all payments received to date from both the insurance payer and the client.
  7. Client Balance: The confirmed amount currently owed by the client following insurance adjudication or manual adjustment.
  8. Total Balance: The combined sum of the confirmed Client Balance and any Expected Copay currently due.
  9. Invoice: A link to view or download the formal billing statement for the encounter.
  10. Superbill: A link to download an itemized statement used by clients to seek reimbursement from their insurance provider.

 

All details are pulled from the work areas of the note from which the invoice was generated. Using the three dot icon next to each header, clients can sort or filter their account information accordingly, sorting balances from lowest to highest, or services from most recent to most aged. 


Download Invoice / Superbill 

Clicking either the Invoice or Superbill for each itemized claim will download a PDF copy of the requested document for the client's records. If not automatically prompted to select a destination folder, clients should check their browser's default Downloads location.
