Exporting Billing Worklist Encounters to a CSV File

Overview

ICANotes+ allows users to export encounter data from the Billing Worklist to a CSV file. This helps practices analyze data, reconcile billing information, and share encounter details with internal teams or external systems.

You can export data from the following Billing Worklist tabs:

  • Appointments without Notes

  • Unbilled Encounters

  • Billed Encounters

Each tab includes an Export CSV button that downloads the currently displayed data.

Prerequisites

  • You must have access to the Billing Worklist.

Access the Billing Worklist

  1. From the left navigation menu, select Dashboard.

  2. Click the Billing Worklist tab.

  3. Access the respective tab to export the data.


Export Appointments without Notes

Use this option to export appointments that do not yet have clinical notes.

  1. In the Billing Worklist, select Appointments without Notes.

  2. Review the list and apply sorting or filters as needed.

  3. Click Export CSV in the upper-right corner of the screen.

  4. Save the downloaded CSV file to your computer.

The exported file includes all appointments currently shown in the grid.


Below is a sample of the CSV file for a list of appointments without notes.



Export Unbilled Encounters

Use this option to export encounters that have not yet been billed.

  1. In the Billing Worklist, select Unbilled Encounters.

  2. (Optional) Use column sorting or filters to narrow down the results.

  3. Click Export CSV in the upper-right corner.

  4. Save the CSV file when prompted.

Only the encounters displayed in the list are included in the export.


Below is a sample of the CSV file for unbilled encounters. When an encounter includes multiple service codes, they appear in a new column in the CSV file.


Export Billed Encounters

Use this option to export encounters that have already been billed.

  1. In the Billing Worklist, select Billed Encounters.

  2. Review the encounter list and adjust sorting or filters if needed.

  3. Click Export CSV in the upper-right corner.

  4. Save the CSV file to your computer.

This export reflects the billed encounter data currently visible on the screen.


Below is a sample of the CSV file for billed encounters. When an encounter includes multiple service codes, they appear in a new column in the CSV file.


Notes

  • The CSV file contains only the data shown in the active tab at the time of export.

  • Any applied sorting or filtering affects the exported results.
