Filtering Appointments and Availability on the Calendar (New Calendar)

Overview

ICANotes+ provides flexible filtering options on the Calendar to help you quickly focus on the appointments you need to see and to identify available time slots based on specific criteria. You can filter existing appointments and provider availability independently using the left pane.

Access Calendar Filters

  1. Open the Calendar from the left navigation.

  2. Select the desired Day (D), Week (W), or Month (M) view.

  3. Click the filter icon from the top left corner.

  4. Use the filter options available in the left pane:

    • Filter Appointments

    • Filter Availability

Each section applies only to its respective purpose and does not impact the other.



Filter Appointments

Use Filter Appointments to narrow down the appointments displayed on the calendar.

Available Filters

You can filter appointments using one or more of the following criteria:

  • Clinician – View appointments scheduled with specific providers.

  • Appointment Type – Filter by visit type (for example, new visit or follow up).

  • Contact Type – Filter by how the appointment is conducted (such as in-person or telehealth).

  • Location – View appointments scheduled at specific practice locations (sites).


How It Works

  • Select one or more values in any filter field to refine the calendar view.

  • Applied filters immediately update the appointments displayed.

  • A green indicator shows the number of active selections for each filter.

Clear Appointment Filters

  • Click Clear filters to remove all applied appointment filters and return to the default calendar view.

Filter Availability

Use Filter Availability to identify open time slots based on provider availability.

Available Filters

You can filter availability using the same criteria:

  • Clinician – View availability for specific providers.

  • Appointment Type – Match availability to the type of appointment being scheduled.

  • Contact Type – Match availability based on visit method (such as in-person or telehealth).

  • Location – View availability at specific locations / sites.


How It Works

  • Availability filters help you quickly find time slots that meet your scheduling requirements.

  • These filters are especially useful when booking new appointments.

  • Availability filtering does not hide existing appointments; it highlights time slots that match the selected criteria.

Clear Availability Filters

  • Click Clear filters to remove all applied availability filters and return to the default calendar view.


View the Total Number of Applied Filters

A number displayed in the filter icon indicates how many filters are currently applied. In this example, filters are applied to Clinician and Contact Type, so the number 2 appears next to the filter icon.

Important Notes

  • Filter Appointments and Filter Availability work independently. Applying filters in one section does not affect the other.

  • You can combine multiple filters to further refine results.

When to Use Each Filter

  • Use Filter Appointments when you want to review or manage existing appointments.

  • Use Filter Availability when you want to find open time slots for scheduling new appointments.

This filtering capability helps reduce calendar clutter and improves scheduling efficiency across your practice.
