Grant User Access to Calendar Features

Overview  

This Knowledge Base article provides comprehensive guidance on assigning user access to the Calendar features within the system. It outlines the step-by-step process for granting access and includes screenshots to illustrate how access limitations are displayed to users without the required permissions.

 

By using this guide, administrators can efficiently manage access and ensure that only authorized personnel can handle the Calendar related tasks.

 

 

Grant Permission to Access the Calendar 

To grant permission to access the calendar:

 

  1. Go to Settings > Practice Settings > Roles & Permissions.
  2. Select the Edit button for the desired role.
  3. On the Update Role screen, expand the Calendar tab and select the Access Calendar checkbox.

 

 

 

Users lacking this permission will not see the Calendar option in the left sidebar.

 

 

Grant Permission to Add Appointment

To grant permission to add appointment:

 

  1. Go to Settings > Practice Settings > Roles & Permissions.
  2. Select the Edit button for the desired role.
  3. On the Update Role screen, expand the Calendar tab and select the Add Appointment checkbox.

 

 

 

Users lacking this permission will see a restriction message when trying to add an appointment on the calendar.


 

 

Grant Permission to Edit Appointment

To grant permission to edit appointment:

 

  1. Go to Settings > Practice Settings > Roles & Permissions.
  2. Select the Edit button for the desired role.
  3. On the Update Role screen, expand the Calendar tab and select the Edit Appointment checkbox.

 

 

 

Users lacking this permission will see a restriction message when trying to edit an appointment on the calendar.




Grant Permission to Delete Appointment

To grant permission to delete appointment:

 

  1. Go to Settings > Practice Settings > Roles & Permissions.
  2. Select the Edit button for the desired role.
  3. On the Update Role screen, expand the Calendar tab and select the Delete Appointment checkbox.

 


 

 

Users lacking this permission will see a restriction message when trying to delete an appointment on the calendar.




Grant Permission to Have a Calendar for Adding Appointments 

To grant users permission to access the calendar for booking appointments: 

 

  1. Go to Settings > Practice Settings > Roles & Permissions.
  2. Select the Edit button for the desired role.
  3. On the Update Role screen, expand the Calendar tab and select the Has a Provider Calendar checkbox.

 

 

 

Users without this permission will not see their name listed in the Providers section on the calendar. 

Users with this permission will see their name displayed, as shown in the screen below. Once enabled, they can book appointments on their calendar. 



 

 

Grant Permission to See External Calendar Appointments 

To grant users permission to see external calendar appointments: 

 

  1. Go to Settings > Practice Settings > Roles & Permissions.
  2. Select the Edit button for the desired role.
  3. On the Update Role screen, expand the Calendar tab and select the See External Calendar Appointments checkbox.

 

 

 

Users with this permission can see Google Calendar–synced busy events from other clinicians.

 

Grant Permission to View All Clinicians' Calendar 

To grant permission to view all clinicians' calendar:

 

  1. Go to Settings > Practice Settings > Roles & Permissions.
  2. Select the Edit button for the desired role.
  3. On the Update Role screen, expand the Calendar tab and select the View All Clinicians' Calendars (Practice Calendar) checkbox.

 


 

 

Users with this permission can view the calendars of all providers. Refer to the screen below for reference. As they select the relevant checkboxes, the providers' calendars will be displayed on the right side.
