Setting Up e-Prescribing (eRx) Access for a Staff User

Overview

Use this procedure to grant e-Prescribing (eRx) access to a staff user in ICANotes+.

Before you begin, ensure that at least one provider is enrolled in an active eRx plan. For instructions, see How to Set Up E-Prescribing for a Provider.

Staff users can be granted permission to:

  • Prescribe medications on behalf of a provider.
  • Queue prescriptions for provider approval.

Prerequisites

Before performing this procedure, ensure that:

  • At least one provider is enrolled in an active eRx plan.
  • You have the Administrator role.
  • The staff user has been added to the account.

eRx Staff Roles

When at least one provider is enrolled in an eRx plan, the following eRx-specific roles become available.

Support eRx: Allows staff users to prepare and queue prescriptions.
eRx Administrator: Allows staff users to manage Electronic Prescribing of Controlled Substances (EPCS) approvals for providers.

Administrators can manage user roles by navigating to Settings > Account Management.

Notes
Assign the Support eRx and eRx Administrator roles only to users with Staff, Case Manager, Intern, or Paraprofessional subscriptions. Do not assign these roles to Full-time Prescribers, Part-time Prescribers, or Non-prescribers.

Assign an eRx Role to a Staff User

Complete the following steps to assign an eRx role to a staff user.

  1. Navigate to Settings > Account Management.
  2. Locate the staff user and select Edit next to their name.
  3. If the user has not been added to the account, select Invite User and complete the invitation process.
  4. Assign the appropriate role:
    • Select Support eRx if the user needs to prepare or queue prescriptions.
    • Select eRx Administrator if the user needs to manage EPCS approvals for providers.
  5. Save your changes.





Grant eRx Access to a Staff User

After assigning an eRx role, complete the following steps to grant eRx access to the staff user.

  1. Open a client chart.
  2. Verify that the client's address and phone number are entered in the Demographics section.
  3. If necessary, select Edit and update the information.



  4. Open the Chart Face.
  5. Create a Progress Note or another note type that supports medication entry.
  6. Select Enter next to Medications


  1. In the Medication List tab, select Manage Medication(s).



  2. In the Access Requests window, locate the staff user.



  3. Select Grant.



  4. When prompted, confirm the access request.



Result

The staff user can now:

  • Prescribe medications on behalf of the provider.
  • Queue prescriptions for provider review and approval.
