Importing Client Demographics

Overview  

If you're migrating a caseload of patient demographics from another EHR, ICANotes+ allows you to quickly and easily upload this information. 

 

Note: Once you download the template and upload your details, it may take around 5 to 10 business days to complete the entire import process.

 

 

Steps to Import Patient Demographics Data from Another EHR

To import client demographics data from another EHR, navigate to Settings > Practice Information > Import Patient Demographics section.

 

 

Follow the steps below to streamline the import process. 

 

1) Export Your Data: Begin by exporting your patient demographics from your current system.


2) Download Our Template

 

  • Download our example file, which will serve as a guide for formatting your data.
  • Ensure your file uses the same headers as our template, with one row per patient.
  • A minimum of 20 patients is required for import.
  • Save the template spreadsheet to your local device. 

 

Sample Spreadsheet:

 

  • The fields highlighted in green are mandatory.
  • The yellow fields are optional.
  • For large datasets, you can easily copy and paste data into the template.

 


3) Upload Your File

  • Once your data is formatted correctly, click on Upload.
  • When prompted, select the file from your local device and click Open.


4) ICANotes+ Will Complete the Import

  • After uploading, our team will process the import. Please allow 5-10 business days for completion.
  • You will receive an email notification once the import is finalized.

 

This process ensures your patient data is transferred seamlessly into ICANotes+.
