Overview
ICANotes+ allows clinicians to schedule and conduct telehealth appointments directly from the Calendar. Before a telehealth session can begin, the appointment must be configured as a telehealth visit and client consent must be obtained.

Prerequisites
Before starting a telehealth session, ensure that:
To receive telehealth links by text message, the client's phone number must be designated for SMS communications.
To designate a phone number for SMS communications, complete the following steps:
- Open the client's chart.
- Select the Demographics tab.
- Expand the Contact section.
- In the Phone Numbers area, edit the desired phone number.
- Select the SMS option for the phone number.
If only one phone number exists for the client, the SMS option is selected automatically when SMS appointment reminders are enabled.
Step 2: Schedule a Telehealth Appointment
To schedule a telehealth appointment for a client, complete the following steps:
- From the left navigation menu, select Calendar.
- Select an available time slot.
- Enter the appointment details.
- In the Contact Type field, select Telehealth.
- Select Create.
Step 3: Start a Telehealth Session
To start a telehealth session, complete the following steps:
- Open the scheduled appointment from the calendar.
Update the appointment status to one of the following:
- Confirmed
- Checked-In
- Occurred
- Select Save Appointment.
- After saving the appointment, reopen the scheduled appointment and select Start Telehealth Session.
Step 4: Obtain Client Consent
Before a telehealth session can begin, client consent must be recorded.
Option 1: Record Verbal Consent
- On the consent screen, select Accept Verbal Consent.
- Select Send Consent Form to Portal.
- The client receives the consent form in the Client Portal.
- The client reviews and accepts or declines the form.
- If accepted, the client signs the consent form electronically.
- A notification is displayed when consent has been completed.
Step 5: Launch the Telehealth Session
After consent has been received:
- Select the consent notification.
- Open the telehealth session screen.
- Begin the telehealth appointment.
Step 6: Send the Telehealth Link to the Client
After the session is prepared, send the telehealth link to the client.
Send the Link by SMS
To send the link by SMS, complete the following steps:
- Select SMS as the delivery method.
- Verify the client's phone number.
- Add a phone number if one is not already documented.
- Select Next.
Sending the Telehealth link via SMS incurs messaging charges. Telehealth SMS invitations can be sent even if SMS Appointment Reminders are not enabled for your practice. Send the Link by Email
To send the link by email, complete the following steps:
- Select Email as the delivery method.
- Verify the client's email address.
- Add an email address if one is not already documented.
- Select Next.
After selecting a delivery method, the telehealth session link is generated and sent to the client.
FAQs
Why can't I start a telehealth session?
The appointment must have a Contact Type of Telehealth and a status of Confirmed, Checked-In, or Occurred before the session can be launched.
Do I need to enable SMS services to use telehealth?
Yes. SMS services must be enabled at the practice level to support telehealth communications and link delivery.
Do all clients need SMS Appointment Reminders enabled?
No. SMS Appointment Reminder settings are not required to send telehealth invitation links. The client's phone number must simply be configured for SMS communications.
What happens if a client has multiple phone numbers?
You must designate which phone number should receive SMS messages by selecting the SMS option for that number.
Can a client provide consent electronically?
Yes. You can send a consent form through the Client Portal. The client can review, accept, and electronically sign the form.
Can verbal consent be recorded instead of using the Client Portal?
Yes. If consent is obtained verbally, select Accept Verbal Consent on the consent screen.
Can telehealth links be sent by email instead of SMS?
Yes. Telehealth links can be sent either by SMS or email.
What happens if the client's phone number or email address is missing?
You can add the missing contact information directly from the telehealth link delivery screen before sending the invitation.
Are there additional charges for sending telehealth links by SMS?
Yes. Sending telehealth invitation links by SMS may incur applicable messaging charges.
