This article explains how to control statement delivery for clients by contact method (Email, SMS/Text, and Mail), and how to manage access to these settings using roles and permissions in ICANotes+.
Practices can use these settings to prevent statements from being delivered to certain clients while still generating and transmitting statements for others.
Your practice must be configured for Vendor Statements (Statement Vendor, Client Code, SFTP Username, and SFTP Password).
You must have the Manage Statement Delivery Settings permission enabled.
If these requirements are not met, the Statement Delivery Settings section appears disabled.
Use roles and permissions to control which users can manage statement delivery options for clients.
Go to Settings > Practice Settings > Roles & Permissions.
Open the role you want to review or update.
Expand the Billing section.
Select the Manage Statement Delivery Settings checkbox.
If the permission is not enabled, the Statement Delivery Settings section is disabled and grayed out, with a message indicating that permission is required.
You can allow or prevent statement delivery for a client by email, SMS/Text, or mail from the client’s Communications tab.
Go to Clients.
Select a client.
Open the Communications tab.
Locate the Manage Statement Delivery Settings accordion (below Appointment Reminders).
The Manage Statement Delivery Settings accordion contains three opt-in controls. All options are enabled by default for new and existing clients.
When selected, the client’s email address is included in statement transmissions.
When cleared, the client’s email address is excluded from the transmitted file.
When selected, the client’s phone number is included in statement transmissions.
When cleared, the client’s phone number is excluded from the transmitted file.
When selected, the client’s mailing address (Address 1, Address 2, City, State, and ZIP) is included in statement transmissions.
When cleared, the client’s mailing address is excluded from the transmitted file.
If a client is opted out of email, SMS/Text, and mail:
The client is excluded from the statement transmission file.
The Transmit button is disabled for that client on the Statements screen.
A tooltip explains that the client has opted out of all delivery methods.
When transmitting multiple statements:
Statements for opted-out clients are not included in the transmitted file.
Those statements display a status of Transmission Failed.
