Managed Care Authorization Report

Overview

The Managed Care Authorizations Report provides a centralized view of managed care authorizations across clients. You can use the report to review authorization details, track authorized and used quantities, identify remaining quantities, and monitor expiration dates without opening each client's authorization record individually.

Users must have the appropriate permission to access this report.

You can search, filter, sort, paginate, and export the report results in CSV, Excel, or PDF format.

Step 1: Accessing the Managed Care Authorization Report

To access the Managed Care Authorization Report:

  1. Select More from the left sidebar.
  2. Select Reports.
  3. In the Report dropdown, select Managed Care Authorization Report.

Step 2: Using Report Filters

Use the available filters to refine the authorizations included in the report.

  1. Client: Select a client to display authorizations associated with that client. The default is All.
  2. Insurance: Select an insurance payer to display authorizations associated with that payer. The default is All.
  3. Auth Type: Select Unit or Encounter to filter authorizations by authorization type. The default is All.
  4. Service Code: Select a service code to display authorizations associated with that service code. The default is All.
  5. Enabled: Select Yes or No to filter authorizations based on whether they are enabled. The default is All.
  6. Expired: Select Yes or No to filter authorizations based on their expiration status. The default is All.
  7. Issued Date Start: Enter a start date to include authorizations issued on or after that date.
  8. Issued Date End: Enter an end date to include authorizations issued on or before that date.
  9. Expiration Date Start: Enter a start date to include authorizations expiring on or after that date. By default, this is the first day of the current month.
  10. Expiration Date End: Enter an end date to include authorizations expiring on or before that date. By default, this is the current day of the current month.



Step 3: Running the Report

After selecting the desired filter options, click Run Report.

The report displays the managed care authorizations that match the selected filters.

By default, the report is sorted by Expiration Date in ascending order and then by Client Name in ascending order.



When you run or export the report, it includes the following columns:

  1. Chart ID: The client's chart ID.
  2. Insurance: The insurance payer associated with the authorization.
  3. Authorization Number: The authorization number entered for the authorization.
  4. Auth Type: The authorization type, either Unit or Encounter.
  5. Service Code(s): The service code or codes associated with the authorization. Multiple service codes are separated by commas.
  6. Modifier: The modifier or modifiers associated with the authorization. Multiple modifiers are separated by commas.
  7. Issued Date: The date the authorization was issued.
  8. Expiration Date: The date the authorization expires. Expired dates are displayed in an attention color.
  9. Enabled: Indicates whether the authorization is enabled.
  10. Authorized Quantity: The total quantity authorized.
  11. Used Quantity: The quantity that has been used.
  12. Remaining Quantity: The quantity remaining on the authorization.
  13. Notes: Additional information entered for the authorization.

What information does the Managed Care Authorizations Report provide?

What is the default expiration date range?
The Expiration Date Start defaults to the first day of the current month, and the Expiration Date End defaults to the current day of the current month.

Yes. Use the Client or Insurance filters to limit the results to a specific client or insurance payer.

The report is sorted first by Expiration Date in ascending order and then by Client Name in ascending order.

What happens when an authorization has expired?
The expiration date is displayed in red color to help identify expired authorizations.
