Managing Cards on File for Clients

Overview

The Cards on File feature lets you securely store and manage client credit or debit cards for future payments. With credit card processing enabled through Nexio, you can add, view, set a default card, and remove saved cards directly from the client’s Account section within the chart.

This feature helps streamline payment collection and supports cards saved by both staff and clients through the client portal.

Prerequisites

  1. Credit card processing must be enabled through Nexio before you can save cards on file. To get started, go to: https://nex.io/partnerships/icanotesplus-lp/
  • Clients must have a valid email address before you can save a card on file.

Access Cards on File

  1. Open the client’s chart.
  2. Select Account from the top menu.
  3. Locate the Credit/Debit Cards on File section.
  4. Expand the section to view, add, or manage saved cards.

Add a Credit or Debit Card

  1. In the Credit/Debit Cards on File section, select + Add Credit/Debit Card.
  2. Ensure the client has an email address on file.
    • If no email is available, the system displays an error and prevents saving the card.
  3. Enter the following details:
    • Card Information
    • Billing Information
  4. (Optional) Select Set as default to make this the default payment method.
  5. Select Save Card on File.

The card appears in the Credit/Debit Cards on File section.

Notes
Cards saved by clients through the client portal automatically appear in this section. For more information, see Client Portal Payments and Save Cards on File


Manage Saved Cards

  • Add another card: Repeat the steps in Add a Credit or Debit Card.
  • Delete a card: Select Delete next to the card you want to remove. A confirmation message appears before deleting the saved card.


FAQs

Why can’t I add a card on file?
The client does not have an email address on file. Add an email address and try again.

Can clients add their own cards?
Yes. Clients can save their card information through the client portal. Saved cards appear in the Credit/Debit Cards on File section.
