Managing Messages in the Client Portal

The Client Portal has been redesigned with an updated user interface. Screenshots, labels, and page layouts shown in this article may differ from what you currently see in the portal. The steps and functionality described in this article remain accurate, and any exceptions will be identified within the article.

Overview

The Messages feature allows you to securely communicate with your practice through the Client Portal. You can compose new messages, view received and sent messages, reply to messages, print messages, and delete messages.

To access the client portal, sign in at: https://myportal.icanotes.com/login 

Access Messages

  1. Sign in to the Client Portal.
  2. Select the Messages tab.

The Messages page contains the following folders:

  • Inbox
  • Sent
  • Deleted


Inbox

The Inbox folder contains messages received from your practice.

Available actions include:

  • Reply
  • Print
  • Delete


Sent

The Sent folder contains messages you have sent through the Client Portal.

Available actions include:

  • Reply
  • Print
  • Delete


Deleted

The Deleted folder contains messages that have been deleted.

Alert
The system does not display a confirmation prompt when deleting messages. Messages deleted from the Deleted folder are permanently removed and cannot be recovered.


Compose a Message

  1. Select Compose or New Message.
  2. Enter a subject.
  3. Enter your message in the message body.
  4. Attach files if needed.
  5. Click Send.


Message Formatting Options

When composing a message, the editor provides several formatting options, including:

  • Bold
  • Italic
  • Underline
  • Strikethrough
  • Undo
  • Redo
  • Clear Formatting
  • Attach Files

Use these options to format your message before sending it.




Reply to a Message

  1. Open a message from the Inbox or Sent folder.
  2. Select Reply.
  3. Enter your response.
  4. Send the message.


Print a Message

  1. Open the message you want to print.
  2. Select Print.
  3. Follow your browser's print options to print or save the message.


Delete a Message

  1. Open the message.
  2. Select Delete.

The message is moved to the Deleted folder.


AlertThe system does not display a confirmation prompt when deleting messages. Messages deleted from the Deleted folder are permanently removed and cannot be recovered.



FAQs

How do I send a message to my practice?
Open the Messages tab, select Compose, enter a subject and message, and then send it.

Can I attach files to a message?
Yes. Use the attachment option while composing your message to include files.

Where can I find messages sent by my practice?
Messages received from your practice appear in the Inbox folder.

Where can I view messages I have sent?
Messages you send through the Client Portal are stored in the Sent folder.

Can I reply to a message?
Yes. Open the message and select Reply.

Can I print messages from the Client Portal?
Yes. Open the message and select Print.

What happens when I delete a message?
Deleted messages are moved to the Deleted folder.

Why did I receive a message about a new document?
Your practice may send message notifications when documents such as invoices, superbills, or clinical notes are shared with you. The message may include a link to view the document in the Client Portal.
