Messaging Clients from ICANotes+

Overview

ICANotes+ enables you to securely send and receive messages with clients through the Client Portal. You can use the Messaging section within the client chart to communicate directly with portal-enabled clients and review message history related to that client.

Access the Messaging Section

  1. Open the client chart.
  2. Select the Communications tab.
  3. Navigate to the Messaging section.

Notes
If Portal access has not been enabled for the chart owner, messaging functionality will be unavailable.

Once Portal access is enabled, the Messaging section displays the client-specific inbox.




Send a Message to a Client

  1. Open the client’s chart.
  2. Select the Communications tab.
  3. Navigate to the Messaging section.
  4. Click Compose.
  5. Enter the message details.
  6. Send the message to the client.

Clients can view and respond to messages through the Client Portal.




Review Client Message History

The client-specific inbox stores communication related to messages exchanged between you and the client.

Only messages exchanged between you and the client are visible in the inbox. Communication between the client and other clinicians within the practice is not displayed.





Notes

  • Messaging is available only after Portal access has been enabled for the chart owner.
  • Clients must log in to the Client Portal to view and respond to messages.
  • Each clinician can view only their own communication history with the client.

FAQs

Why is the Messaging section unavailable?
The Messaging section remains disabled until Portal access is enabled for the chart owner.

Where can clients view messages from clinicians?
Clients can access messages by logging in to the Client Portal.

Can I view messages between the client and other clinicians?
No. The inbox displays only messages exchanged between you and the client.

What types of notifications appear in the client inbox?
The inbox may include notifications related to Client Portal activity, such as updates to demographic or insurance information.

Can I send messages to clients without Client Portal access?
No. Clients must have access to the Client Portal to receive messages through the Messaging section.

Does each client have a separate inbox?
Yes. Each client chart contains a dedicated inbox for communication related to that client.
