Overview
The No Future Appointments Report provides a list of clients who do not have any upcoming scheduled appointments. This report helps practices identify clients who may need follow-up outreach, appointment reminders, or re-engagement efforts to support continuity of care.
Users must have the appropriate permissions to access this report.
You can export the report in CSV, PDF, or Excel format, similar to other reports.

To access the No Future Appointments Report:
- Select More from the left sidebar.
- Select Reports.
- In the Report dropdown, select No Future Appointments Report.

Step 2: Using Report Filters
Use the following filters to refine the report results:
- Exclude Appointments From: Select a start date to exclude clients whose most recent appointment falls on or after the selected date. Leave this field blank to include all dates.
- Exclude Appointments End: Select an end date to exclude clients whose most recent appointment falls on or before the selected date. Leave this field blank to include all dates.
Example: On July 1, if you want to follow up with clients who have not been seen during the previous quarter, set Exclude Appointments period from 04/01 to 06/30. Clients whose most recent appointment occurred during this period will be excluded from the report, allowing you to focus on clients who have not been seen during that timeframe.
- Client Status: Select one or more client statuses to include in the report. By default, the report displays Active clients.
- Clinician: Select a clinician to view clients whose most recent appointment was with that clinician. Leave this field blank to include all clinicians.
- Location: Select a location to view clients whose most recent appointment occurred at that location. Leave this field blank to include all locations.

Step 3: Running the Report
After selecting the desired filter options, click the Run Report button. The report is then generated and displayed as shown in the screenshot below. A description of each column in the report is provided beneath the screenshot.
When you run or export the report, it includes the following columns:
- Client Name: The client's full name displayed in Last Name, First Name format.
- Client Status: The current status of the client, such as Active or Inactive.
- Last Appointment Date: The date of the client's most recent appointment.
- Last Appointment Time: The time of the client's most recent appointment.
- Last Appointment Status: The status of the client's most recent appointment, such as Occurred or Arrived.
- Last Appointment Type: The appointment type associated with the client's most recent appointment.
- Last Appointment Contact Type: The contact method used for the client's most recent appointment.
- Location: The location where the client's most recent appointment occurred.
- Clinician: The clinician associated with the client's most recent appointment.
FAQs
What clients are included in this report?
The report includes clients who do not have any future appointments scheduled. Clients may appear in the report even if they have never had an appointment.
Will clients with appointments scheduled for today appear in the report?
No. Clients with an appointment scheduled for today are not included in the report, regardless of the appointment time.
How do the Exclude Appointments From and Exclude Appointments End filters work?
These filters exclude clients based on the date of their most recent appointment. Use them to focus on clients who have not been seen during a specific period. For example, if you want to follow up with clients who have not been seen in the last 30 days, select the corresponding date range in the exclusion filters.
Can I export the report results?
Yes. The report can be exported in CSV, PDF, and Excel formats.
Can I filter the report by clinician or location?
Yes. You can use the Clinician and Location filters to limit results based on the client's most recent appointment.
