Process a Refund from the Calendar Appointment

Overview

This article explains how to process a refund directly from a client’s calendar appointment in ICANotes+.

You can use this feature whether the payment was processed through credit card integration or recorded manually.

Follow these steps to issue a refund:

Step 1: Open the Appointment

  1. Navigate to the Calendar.
  2. Locate and click the client’s appointment.
  3. In the Session Details window, click the Refund Payment button.


Step 2: Confirm Refund Details

  1. Review the original payment details in the Refund Payment window.
  2. Enter the Reason for Refund.
  3. Click Refund Payment to proceed.



Step 3: Verify Refund Status

  1. A confirmation message will indicate that the refund is in progress.
  2. Click the notification bell to view updates once the refund is posted.


Step 4: Review in Account Payments/Adjustements

  1. Open the notification.
  2. Navigate to the client’s Account Payments/Adjustments.
  3. Verify that the client balance reflects the refunded amount

Additional Information

  • If using credit card processing, you can check the transaction status (voided or refunded) in the Nexio Dashboard.
  • For partial refunds, use the Account Payments/Adjustments section in the client chart instead.
