Process a Refund From the Calendar Appointment

This article demonstrates how to refund a payment from the client's calendar appointment in ICANotes+.

 

The refund from appointment feature can be used by both customers processing payments with the ICANotes+ credit card processing feature and by customers who simply record a payment without processing the charge using our payment processing feature.

 

 

Navigate to the appointment in the Calendar and open the appointment for which a refund needs to be applied.

 

The fee paid will be listed in the Session Details window.

 

Use the Refund Payment button at the bottom of the Session Details window to begin.

 

 

The Refund Payment window will display the original payment details. Partial refunds are not possible at this time. The total paid amount will be refunded. Populate the Reason for Refund field and select Refund Payment at the bottom.

 

 

 

You will see a message confirming your refund is in progress.

 

 

A notification will appear in the application when the refund has posted to the client's Account Ledger.

 

 

Click the bell to see the notification.

 

 

You may click on the notification itself to navigate to the client's account, where you will be able to review their Account Ledger. Here you can see the Amount Paid value is now $0 and the client has a balance amount to pay.


 

 

 

If you use our credit card processing integration, you will be able to login to the Nexio Dashboard to see the transaction status as either voided or refunded depending on if the transaction had a settled status.
