Processing a Credit Card Payment from the Account Ledger

Overview

Use this process to apply a credit card payment directly from the Account Ledger in ICANotes+. This is useful for collecting client copays, fees, or outstanding balances.

To process credit card payments within ICANotes+, your practice must be enrolled with our payment processing partner, Nexio. To sign up or learn more, visit:

Step 1: Create a Note with Service Charges

  1. Navigate to the client's chart and create a new note (e.g., Progress Note).
  2. Select the appropriate service code from the dropdown list. If the billing rate does not populate automatically, manually enter the amount in the Charge field. For more information about configuring service codes and billing rates, see Setting Up Practice Codes and Rates.
  3. If the client has portal access, select Generate Invoice to send the invoice to their portal. Otherwise, click Done to save and close the window.




Step 2: Access the Account Ledger

  1. In the client's chart, go to the Account tab.
  2. Select Account Ledger.

Step 3: Display All Notes

By default, only Signed notes appear. Expand the Note Status dropdown and select In Progress and Finished options if needed.



Step 4: Add a Transaction

Expand encounter and service level entries and then click Add Transaction.


Step 5: Continue to Payment Entry

On the Add Transaction screen,
  1. Enter the payment amount.
  2. Select the Credit Card option.
  3. Click Continue.



Step 6: Select or Add a Credit Card

  1. Review payment amount and account balance.
  2. Enter the card information. 
  3. Enter the billing information.
  4. Click Review Payment.


Step 7: Submit the Payment

  1. Review the payment details.
  2. Click Submit to process the payment.



Step 8: Print the Payment Confirmation

  1. A confirmation screen appears.
  2. To print the confirmation, click Print.
  3. To return to the chart, click Close.





Step 9: Review Notification

After successul payment, a notification appears.
  1. From the top right corner, click the bell icon.
  2. Review the payment notification.
