Roll Up Accounts are useful for companies that bill for multiple organizations. Let’s take a look at how this happens and which clearinghouses make this available.
If you are presented with multiple Tax IDs, you will need to contact the clearinghouse. Explain that you have multiple tax IDs but ICANotes can only connect using one. You need a roll up or child account. All of the work occurs on the clearinghouse side – not within ICANotes. Use ICANotes as you would for electronic billing.
The three integrated clearinghouses that currently allow for rollup or child accounts are Availity, Waystar, and Trizetto. Waystar uses the terminology of roll up account, while Trizetto calls this a Child Account.
Let’s take a look at how this works:
You will submit the electronic claims through ICANotes to your clearinghouse Parent Account.
The clearinghouse receives the claims and sorts them by the Tax ID.
The clearinghouse will then send out the claims to the payers.
For example, John Doe is seen by Company A. He has Blue Cross/Blue Shield as his insurance. His ANSI 837 is prepared from the Billing/Productivity Report in ICANotes and sent to clearinghouse, Waystar. Waystar looks at the ANSI 837, sorts the claim under Company A’s Roll-Up account, and sends the bill to Blue Cross/Blue Shield.
When payments are made, the payments are sent to the tax ID provided. Overnight, the clearinghouse sends the information to ICANotes. The payments are then posted using Auto Post Payments.
For example, John Doe’s payment is received from Blue Cross/Blue Shield. Waystar sends the payment to Company A after identifying the tax ID. Overnight, Waystar sends the payment information to ICANotes. The payment is posted to John Doe’s account from Auto Post Payments in ICANotes.
