Scheduling an Individual Appointment for a Client (New Calendar)

Overview 

ICANotes+ enables you to schedule and manage client appointments efficiently. You can create one-time or recurring appointments, update appointment details, change appointment statuses, and delete appointments as needed.

This article explains how to schedule an individual appointment for a client, including both single and recurring appointments.

Add an Individual Appointment

To schedule an individual appointment:

  1. Select Calendar from the left sidebar.

  2. Either, click on the desired time slot on the calendar or click the Add Appointment button.


  3. The Add Appointment screen appears.


  4. When adding or editing an appointment, complete the following fields:

    • Client: Select the client for whom you want to schedule the appointment.

    • Clinician: Select the clinician who will conduct the session.

    • Appointment Type: Choose the appropriate appointment type. The selected type determines the default duration of the session.

    • Contact Type: Select how the session will be conducted. Available options include In-Person, Phone Call, and Telehealth.

    • Location (Site): Select the practice location where the appointment will take place.

    • Appointment Date and Time: Choose the scheduled date and start time for the appointment.

    • Client Time Zone: Select the client’s time zone if it differs from the clinician’s. The system automatically calculates the time difference and schedules the appointment in the correct time slot on the clinician’s calendar.

    • Duration: Review the appointment duration, which is automatically set based on the selected appointment type. Modify it if necessary.

    • Appointment Notes: Enter any additional notes related to the appointment, if applicable.

  5. Click Save Appointment.


Once scheduled, the appointment appears on the calendar. Hover over the appointment slot to view appointment details.




Create a Recurring Appointment

If a client requires multiple sessions, you can schedule a recurring appointment. Recurring appointments can repeat on a daily, weekly, or monthly basis.

Daily

Use these options to set up appointments that repeat every day.
  1. Number of occurrences: Select the total number of occurrences. For example, if you enter 3, three appointments will be added to the calendar for the next three days.
  2. End by: Select the end date. For example, if today is January 1 and you select January 20, daily appointments will be added through January 20.


Weekly

Use these options to set up appointments that repeat on specific days of the week.
  1. Days selection: Select the days of the week the appointment should repeat.
  2. Repeat every X weeks: Enter how often the appointment should repeat. For example, enter 1 to repeat weekly or 2 to repeat every other week.
  3. Number of occurrences: Select the total number of occurrences. For example, if you enter 5, five weekly appointments will be added based on the days you selected.
  4. End by: Select the end date. For example, if today is January 1 and you select February 15, weekly appointments will be added through February 15 based on your selected days.

Monthly

Use these options to set up appointments that repeat on a specific date each month or at a custom monthly interval.
  1. Date selection: Select the date of the month the appointment should repeat.
  2. Repeat every X months: Enter how often the appointment should repeat. For example, enter 1 to repeat every month or 2 to repeat every other month.
  3. End by: Select the date when the recurring appointments should stop. For example, if today is January 1, the date is set to the 10th of the month, and you select April 30, the system will add monthly appointments on the 10th of each month through April 30, based on your repeat interval.

After you enter the recurrence details, click Save Appointment. The recurring appointments will appear on the calendar based on your selections.

Modify Appointment Details

To update appointment details:

  1. Click on the scheduled appointment slot.

  2. The Session Details screen opens.

  3. Click the pencil icon. 


  4. The Edit Appointment screen opens. Modify the required details.


  5. Click Save Appoinment.


Delete an Appointment

To delete an appointment:

  1. Click on the scheduled appointment slot.

  2. The Session Details screen opens.

  3. Click the Delete icon.


  4. Confirm the deletion in the prompt.

    Notes
    The appointment will be removed from the system and the client portal. A success message will confirm the deletion.






Change Appointment Status

To update an appointment status:

  1. Click on the scheduled appointment slot.

  2. The Session Details screen opens.

  3. Scroll down the page.

  4. Select the appropriate status from the Status dropdown.

  5. Available statuses include:

    • Occurred

    • Cancelled

    • Late Cancellation

    • No Show

    • Rescheduled

    • Scheduled

    • Requested

    • Confirmed

    • Arrived

    • Checked In



  6. Click Save.


FAQs 

Can I schedule recurring appointments for a client?
Yes. You can create recurring appointments on a daily, weekly, or monthly schedule.

Can I change an appointment after it is scheduled?
Yes. Open the appointment, click Edit, update the details, and save your changes.

Can I delete a recurring appointment series?
Yes. Open the appointment and delete it. You can then confirm whether to remove a single occurrence or the entire series.

What happens when I delete an appointment?
The appointment is removed from both the calendar and the client portal.

Can I update an appointment’s status after scheduling?
Yes. Open the appointment and select a new option from the Status dropdown.

How does client time zone scheduling work?
The system automatically adjusts the appointment time based on the selected client time zone.
