Overview

The SMS Log Report provides visibility into SMS reminders sent to clients, including their delivery status and related appointment details. Use this report to track message activity, identify delivery issues, and review client responses such as confirmations or cancellations.

You can filter the report by date range, client, and message status to focus on specific records. The report also includes error details for messages that were not successfully sent or delivered.

Users must have the appropriate permissions to access this report.

You can export the report in CSV, PDF, or Excel format, similar to other reports.

Step 1: Accessing the SMS Log Report

To access the SMS Log Report:

  1. Select More from the left sidebar.
  2. Select Reports.
  3. In the Report dropdown, select SMS Log Report.


Step 2: Using Report Filters 

By default, the report includes SMS Log Start Date and SMS Log End Date filters.

SMS Log Start/End Date: Select the date range to view SMS reminders sent during that period.

Use the following filters to narrow the results:

  1. Client: Select a client to view SMS reminder status for a specific client. Leave blank to include all clients.
  2. SMS Log Status: Select a status to view SMS reminders with that status (for example, reminders that were not delivered). Leave blank to include all statuses. The following statuses are available:
    1. Queued: The message request was accepted and is waiting to be sent.
    2. Sending: The message is currently being sent.
    3. Sent: The message was successfully sent and accepted for delivery. Delivery is not yet confirmed.
    4. Delivered: The message was confirmed as delivered to the recipient’s device.
    5. Undelivered: The message was sent but could not be delivered to the recipient. This means delivery failed after the message was sent.
    6. Failed: The message could not be sent due to an issue before delivery was attempted.
    7. Receiving: An incoming message is currently being processed.
    8. Received: An incoming message was successfully received.


Step 3: Running the Report 

After selecting the desired filter options, click the Run Report button. 

The report displays the following columns:
  1. Created Date: Displays the date and time when the SMS reminder was generated.
  2. Client: Displays the name of the client associated with the SMS reminder.
  3. Phone: Displays the recipient’s phone number to which the SMS reminder was sent.
  4. Appointment Date: Displays the scheduled date and time of the appointment linked to the reminder.
  5. Clinician: Displays the clinician associated with the appointment.
  6. Status: Displays the current delivery status of the SMS reminder.
  7. Confirmed: Indicates whether the appointment was confirmed via SMS (Yes/No).
  8. Canceled: Indicates whether the appointment was canceled via SMS (Yes/No).
  9. Opt In: Indicates whether the client has opted in to receive SMS messages (Yes/No).
  10. Opt Out: Indicates whether the client has opted out of receiving SMS messages (Yes/No).
  11. Error: Displays the error message or code if the SMS reminder failed or was not delivered.
  12. Message SID: Displays the unique identifier assigned to each SMS message.
