How to Convert Your ICANotes+ Trial to a Paid Subscription

Overview

This article provides a step-by-step guide for practice owners on how to transition from an ICANotes+ trial to a paid subscription. It covers two scenarios:

  1. Subscribing Before Your Trial Expires – Users can upgrade directly from the Chart Room or Dashboard by selecting the Subscribe Now option. This process includes reviewing user details, updating subscription plans, entering billing information, and completing the payment.

  2. Subscribing After Your Trial Expires – Users logging into an expired trial account will be prompted to subscribe. The process involves reviewing active and inactive users, making necessary adjustments, and proceeding with payment.


Subscribing Before Your Trial Expires

Step 1: Access the Subscription Page

  • From the Chart Room or Dashboard, click the Subscribe Now link in the purple banner.

Step 2: Review Users

  • On the Subscription Screen, check your Active and Inactive users.

Step 3: Edit User Details (If Needed)

  • Click the Edit button to update user information:
    • First and Last Name
    • Email Address (Used for login and password resets)
    • Mobile Phone Number (Required for 2-step verification via SMS, if enabled)
    • Subscription Plan (Determines monthly fee per user)
    • Role (Administrators can manage practice settings)
    • Discipline (Choose from options like Activity Therapist, PT, OT, PCP)
    • Telehealth Service (Optional, adds $10 per user per month)
  • Click Save after making updates.

Step 4: Enter Billing Address

  • Click Same as Practice Address to autofill or manually enter the billing details.
  • Note: Ensure that the State and Zip Code combination is correct to avoid errors.

Step 5: Continue to Payment

  • Click Continue to Payment to proceed.
  • Troubleshooting:
    • If the button isn’t visible, Zoom Out in your browser.
    • If unresponsive, check your Practice Address in Settings.
    • If outside the U.S., temporarily use a valid U.S. address (can be updated later).

Step 6: Review Subscription and Enter Payment Details

  • On the Subscription Summary page:
    • Confirm subscription details.
    • Ensure the payment address matches the one linked to your payment method.
    • Double-check card details (card number, expiration date, CVV).




Step 7: Complete Subscription

  • Click Subscribe to finalize the process.

If your trial has expired, follow these steps:

Step 1: Log in to Your Expired Trial Account

Step 2: Follow the Subscription Prompt

  • Upon logging in, you’ll see a subscription prompt.

Step 3: Review and Edit Users (If Needed)

  • Check Active and Inactive users.
  • Click Edit to update details.

Step 4: Proceed with Payment

  • Follow Steps 4-7 from the "Subscribing Before Your Trial Expires" section.
