Syncing Google Calendar with the ICANotes+ Calendar (New Calendar)

Overview

Google Calendar Sync allows you to connect your Google Calendar with the ICANotes+ Calendar. The integration supports bi-directional synchronization:

  • Appointments created in ICANotes+ can be pushed to Google Calendar.
  • Events created in Google Calendar can be pulled into the ICANotes+ Calendar.

To maintain HIPAA compliance, ICANotes+ does not send client names or other Protected Health Information (PHI) to Google Calendar by default. Appointments synced from ICANotes+ appear in Google Calendar as ICANotes Appointment.

Important

If your practice uses a Google Workspace business account, has signed a Business Associate Agreement (BAA) with Google, and wants PHI included in events synced from ICANotes+ to Google Calendar, contact ICANotes Support at ticket@icanotes.com.

Include the following:

  • A copy of your signed Google BAA.
  • Authorization to enable PHI synchronization for your account.

Prerequisites

Before configuring Google Calendar Sync:

  • Have an active Google account.
  • Ensure you can sign in to the Google account you want to connect.
  • Verify that the account has access to the Google Calendar you want to sync.

Step 1: Access Google Calendar Sync Settings

  1. Log in to ICANotes+.
  2. Click your Profile icon in the upper-right corner.
  3. Select Personal Preferences.
  4. Navigate to Calendar Settings > Calendar Sync Settings > Google Calendar Sync.

Step 2: Connect a Google Account

  1. Click Sign in with Google.
  2. Select the Google account you want to sync.
  3. Review the requested permissions.
  4. Click Continue to grant access.




Step 3: Configure Sync Settings

Configure the available synchronization options.


Push to Calendar

Enable Push to Calendar to display ICANotes+ appointments on your Google Calendar.

Note: New appointments created in ICANotes+ typically appear in Google Calendar within a few seconds.

Pull from Calendar

Enable Pull from Calendar to display Google Calendar events in the ICANotes+ Calendar.

You can select which Google calendars are imported into ICANotes+.

Notes:

  • All-day events are not imported into the ICANotes+ Calendar.
  • To import an event, ensure it is not marked as All Day.
  • New Google Calendar events may take up to one hour to appear in ICANotes+.

Pull in Event Details

Enable Pull in Event Details to display event information from Google Calendar in the ICANotes+ Calendar.

When disabled, imported events appear only as Busy without additional details.

Step 4: Verify the Sync

  1. Open both the Google Calendar and ICANotes+ Calendar.
  2. Create a test event in either calendar.
  3. Confirm that the event appears in the other calendar.
  4. If the event does not appear, review your sync settings and verify that calendar permissions were granted successfully.

Step 5: Disconnect Google Calendar

  1. Navigate to Calendar Settings > Calendar Sync Settings > Google Calendar Sync.
  2. Click Disconnect your Google Calendar.

Synchronization stops after the Google account is disconnected.


Troubleshooting

If calendar synchronization is not working as expected:

  • Reauthorize Google Calendar access from the sync settings.
  • Verify that the connected Google account has access to the selected calendars.
  • Check for any Google account restrictions or permission changes.
  • Refresh both calendars and allow sufficient time for synchronization.
  • Verify that imported Google Calendar events are not configured as all-day events.

FAQs

What information is sent from ICANotes+ to Google Calendar by default?
By default, ICANotes+ sends appointments to Google Calendar as ICANotes Appointment and does not include client names or other PHI.

Can I include client information in Google Calendar events?
Yes. If your practice uses a Google Workspace business account and has a signed Google BAA, you can request PHI synchronization by contacting ICANotes Support and providing a copy of your BAA.

How long does it take for appointments created in ICANotes+ to appear in Google Calendar?
Appointments created in ICANotes+ typically appear in Google Calendar within a few seconds.

How long does it take for Google Calendar events to appear in ICANotes+?
New Google Calendar events can take up to one hour to appear in the ICANotes+ Calendar.

Why is my Google Calendar event not appearing in ICANotes+?
Verify that Pull from Calendar is enabled, the correct calendar is selected for synchronization, and the event is not marked as an all-day event.

Are all-day events imported into ICANotes+?
No. All-day events from Google Calendar are not imported into the ICANotes+ Calendar.

What happens if Pull in Event Details is disabled?
Imported Google Calendar events appear as Busy on the ICANotes+ Calendar without displaying event details.

Which Google Calendars can I display in ICANotes+?
When Pull from Calendar is enabled, you can select the Google calendars that are displayed in your ICANotes+ Calendar.

How do I stop syncing my Google Calendar?
Navigate to Calendar Settings > Calendar Sync Settings > Google Calendar Sync and select Disconnect your Google Calendar.

Why do appointments appear as "ICANotes Appointment" in Google Calendar?
