Unapplied Payments Report
Overview
The Unapplied Payments Report provides a detailed view of client payments that have been entered but not fully applied. It helps track remaining unapplied amounts, ensuring that all payments are properly allocated. The report includes client details, payment information, and balances, allowing staff to quickly identify unapplied funds and manage client accounts more efficiently. Users must have the appropriate permission to access the Unapplied Payments Report.
This report can be exported in CSV, PDF, or Excel format, similar to other reports.
Step 1: Accessing the Unapplied Payments Report
To access the Unapplied Payments Report:
- Select More from the left sidebar.
- Select Reports.
- In the Report dropdown, select Unapplied Payments Report.
Step 2: Using Report Filters
By default, the report includes Payment Start Date and Payment End Date filters.
You can use the following additional filters to narrow the results:
- Client: Select a specific client to view their unapplied payments. Leave this field blank to include all clients.
Step 3: Running the Report
After selecting the desired filter options, click the Run Report button. The report is then generated and displayed as shown in the screenshot below. A description of each column in the report is provided beneath the screenshot.
When you run or export the report, it includes the following columns:
- Client First Name: The client’s first name.
- Client Last Name: The client’s last name.
- Chart ID: The client’s chart ID.
- Payment Date: The date the payment was entered in the system.
- Source: The payment source (cash, check, credit card, etc.).
- Payment Amount: The payment amount entered in the system.
- Remaining Unapplied Amount: The portion of the payment that remains unapplied after allocation.
- Client Balance: The total client balance due.
