Uploading Documents Through the Client Portal

Overview

The Client Portal allows clients to upload documents and share them with their care team through My Documents. Once a document is uploaded, it is added to the client's chart and the client's Principal Clinician receives a notification. Practice users can access documents uploaded by clients from the Documents tab.

Enable Document Upload from Portal

Before clients can upload documents from the Client Portal, enable the Allow clients to upload documents from portal setting.

To enable the setting:

  1. Go to Settings > Client Portal > My Documents.

  2. Select Allow clients to upload documents from portal.

Once enabled, clients can upload documents from the My Documents section of the Client Portal.


Uploading a Document from the Client Portal

Clients can upload one or more documents at a time from My Documents.

  1. The client signs in to the Client Portal.

  2. Selects My Documents.

  3. Selects Upload.

  4. Selects Add Files.


  5. Selects one or more files.


  6. Reviews the selected files.

    During the review step, the client can:

    • Edit the file name.

    • View the file type and size.

    • Remove a file from the upload.

    • Select Add Files to add more files to the batch.


  7. Selects Upload.



After the upload is complete, a confirmation message appears in the top-right corner. Successfully uploaded documents appear at the front of the client's My Documents list with a Shared badge.



Review Uploaded Documents

After a client successfully uploads a document, the document is added to the client's Documents tab in the chart.

The document includes the following information:

  • Document: The file name entered by the client.

  • Type: Document

  • Received Date: The date and time the document was uploaded.

  • Category: Portal Attachments

  • Clinician: The client's Principal Clinician

  • Share Status: Shared


Review Upload Notifications

The client's Principal Clinician receives a notification for each successfully uploaded document.

The notification includes the upload date, the client's name, and a message indicating that the client sent a document through the Client Portal. Selecting the notification redirects the clinician to the Documents tab, where they can access the uploaded document.

If a client uploads multiple documents in one batch, the Principal Clinician receives a separate notification for each document.


Frequently Asked Questions

Can clients add more files after selecting files for upload?
Yes. Clients can select Add Files during the review step to add more files without clearing the files they have already selected.

Can clients change a file name before uploading it?
Yes. Clients can edit the file name during the review step. The edited name is used as the document's display name after upload.

What happens when a client uploads multiple documents?
Each valid document is uploaded separately. The Principal Clinician receives a separate notification for each successfully uploaded document.

What happens when some files in a batch are invalid?
Invalid files are flagged with an error and excluded from the upload. Valid files in the same batch can still be uploaded.

What happens when a file fails to upload?
The affected file displays an error message and is not added to the Documents tab. No notification is sent for that file, and other files in the batch are not affected.

Where can clinicians find documents uploaded through the Client Portal?
Uploaded documents are available in the client's Documents tab. The notification also provides a link or reference to the documents in the chart.
