ICANotes+ now includes a Medical Decision Making (MDM) feature to help prescribers document encounters and select appropriate E/M service levels in compliance with the AMA 2023 E/M Guidelines.
With this feature, clinicians can:
Document problems addressed, data reviewed or analyzed, and management risk using a structured coding matrix.
Automatically determine the MDM level (Straightforward, Low, Moderate, or High) based on selected criteria.
Use time-based coding as an alternative, with support for appointment duration, time recorded in the note, or manual entry.
Insert the calculated service code directly into supported note types.
This feature supports accurate documentation, consistent E/M level selection, and compliance with current AMA coding standards.

A new role-based permission is now available to control access to managing a client's clinical team, separate from caseload access. By default, only the Administrator role has this permission. Administrators can grant this permission to additional roles based on practice needs.
This permission determines whether a user can add or remove clinicians from a client's Clinical Team.
Go to Settings.
Select Roles and Permissions.
Select the role to update.
Under Chart Face, locate Manage Clinical Team.
Select the checkbox to allow users to manage the clinical team, or clear the checkbox to restrict access.
Click Save.
Users with the Manage Clinical Team permission can:
Add clinicians to a client's clinical team
Remove clinicians from a client's clinical team
Users without the Manage Clinical Team permission:
Can view the clinical team list
Cannot add or remove clinicians
When the permission is not enabled, the Add and Delete buttons are disabled. Hovering over the disabled buttons displays the following tooltip message:
You need permission to “Manage Clinical Team.”

You can now export the appointments list to a CSV file. The Export CSV button is available on the Appointments without Notes tab when accessed from the Dashboard.
Clients and guardians can now electronically sign custom forms and assessments directly from the Client Portal that are shared by the clinician. This update makes it easier to complete required administrative and clinical paperwork securely before appointments.
For clinicians
You can use Share to sign for custom forms and assessments.
The workflow works the same way as it does for other note types.
Once shared, the form is sent to the Client Portal for review and signature.
For clients and guardians
You can view, download, and electronically sign custom forms sent by your provider from the Client Portal.
Guardians can sign on behalf of the client they manage.
Signed forms are securely saved and accessible just like other signed documents.
Forms shared using Share to sign appear in the Client Portal.
Clients or guardians follow the existing e-signature workflow.
Signed forms are retained and can be viewed in ICANotes+.
Both signed and unsigned forms can be downloaded from the portal.
Updated or signed forms are also available in the Documents tab in ICANotes+.
This enhancement helps reduce paperwork during appointments and ensures accurate, timely completion of important forms.
ICANotes+ now supports Navicure as a clearinghouse for claim submission and ERA downloads.
This update allows practices using Navicure to continue submitting claims without changing their clearinghouse setup.
The Payments/Adjustments report now includes transactions created when previously applied payments are moved to Unapplied.
What’s new
When an applied payment is unapplied, the resulting transactions are now displayed as separate rows in the Payments/Adjustments report.
Why it matters
Improves visibility into unapplied payment activity.
Helps billing teams accurately review financial changes and update payroll or reconciliation as needed.
When distributing an unapplied client payment, the posting date now defaults to the date of distribution instead of the original collection date.
What’s new
In Account > Payments/Adjustments, when you select Distribute for an unapplied payment, the Posting Date field in the Distribute Unapplied Payment dialog automatically populates with today’s date.
The posting date no longer defaults to the original payment collection date.
After saving, the selected posting date is consistently reflected in the ledger and reports.

Ensures distributed payments reflect the correct posting date.
Improves accuracy in payroll, financial, and reporting workflows.
Reduces manual corrections and reporting discrepancies.
The Claim Submission Report has been enhanced with new filters and additional columns.
Encounter Start: Filter claims based on the start date of the encounter.
Encounter End: Filter claims based on the end date of the encounter.
Rendering Provider: Filter claims by the provider who delivered the service.
Service Location: Filter claims by the location where the service was rendered.
Client: Filter claims for a specific client.
Chart ID: Filter claims using the associated client chart ID.
Service Code: Filter claims by the billed service code.
Modifier: Filter claims by the modifier applied to the service code.
ICANotes Claim #: Filter claims using the internal ICANotes claim number.
Claim Status: Filter claims based on their current submission status.
Chart ID: Displays the client’s chart ID.
Payer Name: Displays the name of the payer to which the claim was submitted.
Submission Time: Displays the time when the claim was submitted.
Encounter Date: Displays the date of the client encounter tied to the claim.
Billing Provider: Displays the provider responsible for billing the claim.
Billing Provider NPI: Displays the NPI of the billing provider.
Billing Provider Taxonomy Code: Displays the taxonomy code associated with the billing provider.
Rendering Provider NPI: Displays the NPI of the rendering provider.
Rendering Provider Taxonomy Code: Displays the taxonomy code associated with the rendering provider.
