Add Same Primary Insured SSN for Multiple Clients

Overview

This knowledge base article guides you on how to create client charts for siblings or multiple clients who share the same Primary Insured party (for example, a parent or guardian). Following this process ensures that the system correctly accepts and associates the same Social Security Number (SSN) for the insured contact across multiple client records.

Step 1: Create Chart for Client 1 and Establish Insured Contact Record

Complete this section for the first client to create the permanent contact record for the primary insured, including their SSN.

  1. Create Chart for Client 1:

    • Navigate to the Chart Room.

    • Select +New Chart and enter the required client details.

    • Click Create Chart.






  2. Add Insurance:

    • Go to the Account tab and expand the Insurance panel.

    • Click Add Insurance.

    • Complete the insurance company details (Step 1 of 2). Click Next.







  3. Create New Insured Contact:

    • In Step 2 of 2, select Create new contact for the Primary Insured field.

    • Enter the Primary Insured's full name, date of birth, relationship, and Social Security Number (SSN).

    • Click Save.



Step 2: Create Chart for Client 2 and Link the Existing Insured Contact

Before adding the insurance policy for the second client, link the existing primary insured's contact record to this new client's chart.

  1. Create Chart for Client 2:

    • Navigate to the Chart Room.

    • Select +New Chart and enter the required client details for the second client.

    • Click Create Chart.


  2. Link Existing Contact:

    • Go to the Communications tab and select Related Contacts.

    • In the search bar under Search Existing Contacts, type the Primary Insured's first/last name (e.g., Parent Guardian).


  3. Update and Save Contact:

    • Select the contact name (example: Parent Guardian) to open the Update Contact screen.

    • Select relationship with client 2.

    • Click Save to confirm the link between the client and the contact.






Step 3: Add Insurance for Client 2 Using the Linked Contact

Use the previously linked contact record to add the insurance policy for the second client.

  1. Add Insurance for Client 2:

    • Go to the Account tab and select Insurance.

    • Click Add Insurance.

    • Complete the insurance company details (Step 1 of 2). Click Next.






  2. Select Existing Insured:

    • In Step 2 of 2, click the dropdown for Primary Insured.

    • Select the existing contact (Parent Guardian).

    • Verify the insured information, including the SSN, has populated correctly.

    • Click Save.


                  

      

You have now successfully added the primary insurance, using the same SSN for the insured party, to both client charts.
