Creating and Managing Referrals

This Knowledge Base article will guide you on how to make a referral, utilize the Referrals Log, and edit an existing referral with updated content.

Create Referral

There are multiple starting points for creating the initial referral.

From a Finished Note by clicking Make Referral

From a Progress Note via the Clinical Order Sheet

Then click Referral/Consult

This will take you directly to the Referral/Consult Form

Click  to open the Referral work areas:

Complete all fields within the Referral as necessary. Use the available buttons to Add Diagnoses, Add Medications, send as an Internal Message or, if the External Provider is not added to your list in Settings and Directories, you can Add to External Provider List.  You also have the option to create and use Custom Buttons at the right of the Referral window.

When all necessary details are contained within the Referral, use the available buttons to either Print the Referral or Save as PDF to the patient’s Documents tab, then click to Save.

The Referral is now part of the patient’s record. From here you can create another Referral or click to go Back to the note.

If you’re creating a Progress Note or Complete Evaluation, continue finishing the note, then compile. Within the Finished Note screen, record the date the Referral is being sent to the external provider/staff. If sending electronically, click the eSent to Provider check box.

Referral Log

When saved, Referrals can later be referenced within the patient’s Logs. To access, click into the Logs tab from the patient’s Chart Face

Use the dropdown field to switch to the Referral Log to see all Referrals created for the patient

Click to Print This Log to print copies of all Referrals in the chart

Modifying Existing Referrals

To make changes to an existing Referral – such as if an appointment date is scheduled after the Referral is sent and you want to add the date to the record – you may do so from within the Referral/Consult Form, accessible from the Clinical Order Sheet within the work areas of a progress note, the Make Referral button within a compiled note, as outlined in the steps above, or create a brand new note and follow the instructions above to access the Referrals screen from either the Clinical Order Sheet.

If updating from an existing progress note, go to the Compiled Note from any existing note

Then click to Make Referral

In the Referral/Consult Form, click on the Referral you wish to edit. This will open the work areas of the specified referral to allow for changes. Click to Save the Referral when all appropriate changes have been made.

The Referral is now saved with the updates. Click to go Back to compiled note, then return to the Chart Face.
