How to Setup a Telehealth Site

The following Knowledge Base article will guide group administrators on setting up a Telehealth-specific site in Settings & Directories. For a video walk-through, scroll to the bottom of this article. 

 

From the Chart Room, navigate to Settings & Directories.

 

 

Click into Group Level Settings & Directories and stay within the Sites/Letterheads tab. Under Facility Info, click to create a New site.

 

 

In the New Site Name pop-up, give the site a name you'll easily distinguish as your Telehealth site. Please note that once the Site Name is set, it cannot be updated (and is largely used for internal purposes only). You will have an opportunity to set the Facility Name for your Telehealth site in the next step.

 

 

In the next Site Setup Entry pop-up, enter all information as it pertains to the Telehealth site, including Site Type, facility NPI(s)Facility Other ID (if applicable) and Place of Service Code. For Telehealth purposes, the Place of Service Code should be 02 - Telehealth. Complete the Facility Name, address, and phone/fax numbers as necessary.

 

 

Once Facility Info is set for the new telehealth site (click Edit to continue making changes as needed), navigate into the Letterhead tab.

 

 

To populate the letterhead, simply click Use Facility Address and Use Facility Phone/Fax. All relevant information entered in the Facility Info tab will copy over. If at a later time you update information in the Facility Info tab, don't forget to re-populate it in the Letterhead and Electronic Billing tabs. 

 

 

Next, click into the Electronic Billing tab. Follow the same step of clicking Use Facility Address to populate it into the Address field. 

 

 

Use the dropdown field to set the Billing Address (and Billing NPI) for this location, as well as the Pay To Address. If choosing a different site for the Billing Address, pay careful attention to the Billing NPI field to ensure it is the correct NPI to populate in the claim as the Billing NPI (box 33A of the CMS 1500). 

 

Before creating a note for the telehealth encounter, be sure to set your Working At location in the Chart Room first. To set this, click into the Working At dropdown and select your telehealth site. 

 

 

No logout/login is required, and you can reset the site location from the Chart Room at any time. 

 

When compiling/saving your note, the Service Location will be set to the Telehealth site:

 

 

If finished note is set to a different site, simply click the Service Location dropdown to select the correct site.

 

 

The Service Location can also be set from the Billing/Productivity Report using the Edit Work Areas button within the report:

 

 

In the BP - Work Areas pop-up, click into the Site field to make a selection, then click Continue

 

 

The Site location in the note will update accordingly.
