How to Use the Upload Site

 

Accessing the Upload Site:

 

1.  Open your Internet Browser to the following location: https://upload.icanotes.com

2.  Log in with your ICANotes Username and Password.

 

3.  Enter in the Patient’s Name or Unique Number and click the  button.  You can also click on the “A-Z” URL on the lower right.

NOTE: If you want to include inactive patients in your search, be sure to check "Include Inactive Patient".


 

 

4.  After locating the correct patient, click on the patient's name to display the ICANotes Uploads page.

    

 

5.  To help locate documents, use the filters.  The first filter is to select Ascending or Descending of the dropdown choice. In this case, I have selected Date Uploaded in ascending order.

Upload a Document: 

 

1.  On the left, find the category of the upload.  

 

2.  Decide if the upload will be shared with the group. If so, click the 'Allow Group to View' toggle.

3.  Optional: Enter a 'Date received'.

 

4.  Optional: Enter a 'Description'.

 

5.  Click the  button to locate and select the scanned document or image (it must be in one of these formats: jpg/jpeg, pdf, png, gif, txt, xml, hl7, doc, docx, xls, and xlsx and maximum size of 20 MB) you wish to upload located on your computer/network. There is a 20 MB file size limit for uploaded documents.

 

6.  Click the  button.  

 

7.  BE PATIENT (this can take a few minutes depending on the size of the file and your Internet connection upload speed).

 

8.  Once uploaded, it will show under the category you chose.

 

 

 

9.  If you accidentally upload an incorrect file, locate the file in the middle column under the folder it was uploaded to. Use the trash can  icon to delete the file from the documents. You may use the pencil/paper  icon to edit the filename or move it to a different folder.

 

10.  Uploaded files can be found on the "Documents" tab on the patient's Chart Face.

 


Download a Document:

 

1.  Choose a folder and open it to find the file you want to download.  

 

Patient Notes (notes created in ICANotes) are stored in the Patient Records file.

 

2.  Click on the download  icon next to the file, and the file will download.

 

3.  Open the  to open the file. Once opened, you can save (if you want to move to another file) or print this document/file.

 

4.  You can then go back to the Upload Site window and download another file if you wish.

 

Editing a Document File:

 

1.  Click the  icon by the file you want to edit. 

 

2.  The Edit Document window will populate.

 

3.  Decide if you want to change the category. If you do, click within the field and select another category.

 

Decide if the upload will be shared with the group. If so, click the 'Allow Group to View' toggle.

3.  Optional: Enter a 'Date received'.

 

4.  Optional: Change the 'Description'.

 

5.  When all changes have been made, click the  button. 

6.  The file has now been edited.
