MAR Report

This guide covers the steps on how the MAR Inventory Report can be used to generate MAR Inventory information, whether by, 'By Med' or 'By Patient'. The Mar Inventory Report shows each medication dispensed for a patient along with the number dispensed, the number taken as documented in the MAR, and the number of remaining doses. If the report is called from within the patient's MAR then the report will list the medications for that patient. This report can only be printed not exported. 

 

To generate a MAR Inventory Report, the Group Rule can be requested from a Security Administrator to be enabled by ICANotes Support. The name is 'MAR Inventory Report by Patient'.

 

There are two methods in which a MAR Inventory Report can be generated for user-specific information:

  • The first method is based on the overall amount of Medications Administered, Dispensed and Given as documented in the MAR for the Facility. 
  • The second method is patient specific, the report can be generated while actively viewing a patient's MAR to display an overall amount of Medications Administered, Dispensed and Given as documented.

 

Method 1:

 

a) To generate an overall MAR Report, click the ‘Reports’ button in the menu bar at the top and select ‘MAR Inventory Report


b) After you’ve clicked ‘MAR Inventory Report’, you will see a window prompt named ‘Report Options…’ in that window you have the option to choose between ‘By Med’ or ‘By Patient’ or even ‘Cancel’ the report.

 


The ‘By Med’ report gives an overall list of all Administered Medications for all active patients who have an active MAR.

The ‘By Patient’ report gives an overall list of all Administered Medications for each active patient who have an active MAR.

 

‘By Med’:



c) If ‘By Med’ is selected it automatically generates the list of all Medications on the MAR, within the date range.

Firstly, the ‘Start Date’ and ‘End Date’ ranges (see yellow box below) are set by default on the date the report is generated.

For example, the report was generated on 3/7/2022, therefore, that is the date range the system will set. You can change the date to display a Medication entry that was done in the past by clicking on the date field and selecting the required date from the calendar.

 

Secondly, the report displays the a full list with the Medication’s NameDosageDispensed amountAmount administered per medication and Total Medications Administered.


Each time you change/enter the information in the fields, such as ‘Medicine’, 'Dose' (see blue box above) and the Date range, please ensure to click ‘Refresh’ (see green box above) to update the list in the Report.

Once you are finished reviewing the report, you can either click 'Print' to Save as a PDF or print a hard-copy, OR you can click 'Back' (see green box above) to be re-directed to your previous screen.

 


‘By Patient’:



d) If ‘By Patient’ is selected, you can enter the desired date range (see yellow box below). This screen also gives a list of important criteria (see image below - text in blue) that must be met in order for the Report to accurately generate, it also has the option to filter by Location (see purple box below), IF you have more than one Facility/Site in your group.



Once your ‘Start Date’ and ‘End Date’ are precise and you’ve decided to enter a Location or not, click ‘Refresh’ and the list should generate for each patient (see image below). This list identifies the 'Patient’s Name / Medication' (name, dosage and timing), Amount 'Dispensed', Amount 'Taken' and Amount 'Remaining', it can also display a “stopped date”, if this was entered in the MAR.


Once you are finished reviewing the report you can click 'Print' to either Save as a PDF or print a hard-copy, OR you can click 'Back' to be re-directed to the previous screen.



Method 2:


a) To generate a patient specific MAR Report, click ‘Review MAR’ at the bottom of the 'Chart Face'.


b) While in the patient's MAR, click the word 'report' at the top right.


c) As previously shown above in Method 1, the selections remain the same 'By Med' or 'By Patient'.

However, the difference in the report will be seen once a choice is selected.



'By Med': 

This report shows the patient's Medication list, that consists of the Medication’s NameDosageDispensed amountAmount administered per medication and Total Medications Administered within the chosen date range. There is an option to Filter by Medicine and Dose, if that is done, click 'Refresh', and the list will update.



'By Patient': 

This report shows the Administered Medication for the patient ONLY. This list identifies the 'Patient’s Name / Medication' (name, dosage and timing), Amount 'Dispensed', Amount 'Taken' and Amount 'Remaining'.

Same steps as previously directed, if the date range is changed, please ensure to click 'Refresh' to update the list.





Possible Error message prompts:


'By Med':

If you have chosen to change the date range in 'By Med' please ensure you enter a valid 'Start Date' and 'End Date' where the 'Start Date' is not later than the 'End Date' and a date is entered in BOTH fields, if not you will get a prompt (see image below). Click 'Ok' to return to the report, fix the issue and click 'Refresh' to generate an accurate report.





'By Patient':

If you have chosen to change the date range in 'By Patient' please ensure you enter both 'Start Date' and 'End Date', if not you will get a prompt (see image below) to ensure date entry. Click 'Ok' to return to the report, fix the issue and click 'Refresh' to generate an accurate report
