New Calendar Known Limitations
There are some limitations to the New Calendar over the existing calendar. Please review these limitations before requesting that the New Calendar be enabled on your account:
- Appointment status colors cannot be modified.
- Repeating events that were created in the Legacy Calendar will not indicate the detailed repetition settings in the New Calendar within the Event Details window itself.
- There is no way to print a grid.
- There is no "List View."
- When the zoom setting for the session is greater than or less than 100%, where you directly click/drag/drop in the New Calendar with your mouse on screen does not directly translate to the intended space in the calendar. Until resolved, it is strongly recommended that the New Calendar only be used while at 100% zoom.
- Depending on monitor resolution, zooming in beyond 100% or having ICANotes open in less than full screen display can cause Set Up Appointment Types, Set Up Clinicians options, filters and other interface buttons to be inaccessible. The standard workaround is to simply zoom out within the session, scroll down in the calendar and/or expand to maximize the window and regain full functionality within the popover.
- When navigating to the Legacy Calendar from the New Calendar, the same patient and clinician filters are not applied, and neither are the view or filters.
- Appointment History does not permit creation of a new event however it does allow editing of a patient's existing appointments and printing a history in two formats.
- Entering the New Calendar and opening settings or switching the view (schedule/day/week/month, etc.) while the events in the middle of the screen have yet to fully load has been known to cause select actions in the calendar to not function properly. For instance, failure to let the calendar events load and navigating to a different view can result in double-clicking on an event going unrecognized and drag & drop actions going unrecognized. The workaround for this is to navigate away from the New Calendar altogether and return to it. For this reason, until our developers can find a direct solution, we ask that you wait until the calendar has completely loaded before navigating to another view or opening options.
- If the New Calendar fails to load clinicians and events, instead displaying a "JavaScript Not Enabled" error, this is known to occur when there are a very large number of clinicians (> 50 with lengthy character counts) set to display. As the Calendar Help dialog directs, viewing the calendar for a smaller set of clinicians should be an effective workaround. If there are a great number of clinicians in the calendar and this occurs with regularity it is encouraged to establish calendar groups and use them instead of "Show All"
- If the New Calendar fails to load clinicians and events, instead displaying a blank white canvas, this is known to occur when there are a very large number of clinicians and appointment filters are used to limit select types, statuses or sites from displaying. In this case, reducing the appointment filters "Status," "Type" and "Where" so that nothing is filtered out should be an effective workaround.
- If the group rule "New Calendar Load Visible Columns Only" is not enabled, advancing on the 'Schedule' view beyond the initial 8 clinician columns and then adding or altering appointments/events will cause a refresh where the initial set of 8 clinicians displays once again. By contrast, with the "New Calendar Load Visible Columns Only" group rule enabled, the displayed set of clinicians will stay locked in view after making edits and additions in the calendar.
- Changes to demographics such as a name or phone number edits will not reflect in existing appointments unless they are altered and saved.
- When navigating from the Event Details to a scheduled patient's Demographics, attempts to delete an Insurance Carrier will not remove the insurance. Changing insurance carriers or editing content will, however, work just fine.
- When dragging an appointment to extend/shorten the length you can only get the vertical arrows to perform this task from the end/bottom of the appointment rather than from the start/top. The simple workaround, if needed, is to drag & drop the appointment to the desired start time and extend or shorten it as needed.
- When using the "Grid" view only left-to-right dragging is supported. Right-to-left dragging will create an event but the end time will need to be a question mark and need to be entered manually.
- In the event that the calendar does not automatically display appointments upon loading hold the "shift" key on the keyboard and click the Refresh button atop the calendar. This results in a significantly more comprehensive refresh of data than the automatic refreshes that occur routinely and upon changing/adding appointments.
- When you are in Month view in the calendar and click "View More ([#] events)" it takes you to the Day view for the filtered clinician except the Month view icon remains highlighted among the icons atop the screen.
- If a single user is tied to two (or more) resources in the calendar and has the user-level restriction "restrict to their own calendar" turned on they will only be able to view events for one resource at a time, even in Group and Grid displays.
- Double Scheduling conflict detection does not properly detect Block Out events which are shared by multiple clinicians (as created in the Legacy Calendar).
- The show column count feature may occasionally miscount the number of appointments for a clinician if changes to their schedule have been made and the automatic calendar refresh occurs. If this happens, navigating to a different day and then back will update the counter to reflect the correct number.
- Presently, if trying to alter the order of clinicians within a calendar group within clinician settings while a different group is used to filter the calendar display the move up/down order buttons may fail to function. Filtering by the group you're looking to edit both in the main calendar and settings will permit full mobility of the ordering.
- Presently, Block Out events do not permit being shared by multiple clinicians/resources.
Unsupported Group Settings:
- Indicate * for events with notes
Group events (appointments with more than one patient attached):
- Patients cannot request cancellation of or confirm an appointment from the patient portal.
- If the patient, as part of a group event/appointment is enabled for Portal or Reminders and a repeating event is recycled (modified without cancelling and establishing a new repeating event) only the event directly being modified will reflect in the Portal and Reminders without any chance to the "following" appointments regardless of action taken in the New Calendar. Recycling events is not recommended.
- Double booking and double scheduling conflict detection will not work when considering two group events (including blockout-type events).
- The 'show scheduled clinicians only' function will not show a clinician's column if they exclusively have group events for a given day, although it will display all 1:1 events plus group events provided there is at least one 1:1 event for the day
- Only the overall appointment-level status will be reflected in Appointment History as well as in calendar reporting; the available patient-specific appointment statuses have no outside bearing.
- The General Appointment Report will not break down group events by each individual patient that is part of a group event - one row representing the appointment will feature in both the printout of the report as well as in the exported report. Patient Accounts information will not be reflected for each associated patient either.
- Reporting and invoicing on collected copay payments and setting appointment status on a patient-by-patient basis remains a work in progress. Prior consultation with an ICANotes trainer is recommended.
- Number of clinicians assigned to a given event should be kept below 25
Repeating Events:
- When setting an appointment repetition on a daily basis there is no way to exclude weekends.
- With Prevent Double Scheduling, Prevent Double Scheduling over Block Outs or Prevent Double Booking group calendar options enabled, if a repeating event is modified while setting all following appointments to be modified as well, these group calendar options will not presently recognize any resulting conflict.
- Repeating events that were created in the old Calendar will not indicate the repetition settings in the New Calendar's Event Details view. Instead, only a generic "Repeating Event" indicator will be visible in the event's details.
Find Openings (aka "Seek") Feature:
- When Group Settings are enabled to prevent double scheduling and an appointment attempted to be saved comes into conflict with an existing appointment, the Find Openings feature will not properly recognize that the conflicting appointment was never created and treat its time slot as unavailable.
