Custom Fields in Demographics

Overview 

In ICANotes+, when you enter client information, fields like First Name, Last Name, Date of Birth (DOB), Sex, and many more are available. However, if you need to capture additional details (e.g., identification marks) that are not part of the standard fields, the Custom Demographics feature allows you to add them. With this feature, you can configure fields that are not available by default. Once set up, the Custom Fields panel will appear in the demographics section for entering those details. 

 

Note: Currently, custom fields do not appear in the demographics report generated from the Reports section. We are working on including them in the report. 

 

Configurnig Custom Fields  

This section outlines the steps to configure custom fields in the system. 

 

Navigate to Settings > Practice Information > Custom Fields. You will see the configured custom fields. To add a new one, click Add New.  

 

 

 

Enter the following details for the new custom field: 

 

  • Label: This is the field name (e.g., Identification Mark, Referral Provider, etc.). 
  • Type: Select the Small Text option from the dropdown.
  • Placeholder: This will be a guide or instruction that appears as a watermark when users enter data into the custom field. 
  • Status: Uncheck this box if you no longer want the custom field to be visible. 

 

After entering the details, click Add.

 

 

 

 

 

 







Recording Custom Field Details in Client Demographics 

Once custom fields are configured, you can record details for clients in the demographics section. 

 

Navigate to Chart Room > Client's Chart > Demographics tab and expand the Custom Fields panel.

 

Click Edit to bring up the custom fields you have configured. 

 

 

 

 

The Edit Custom Fields screen appears as shown below: 

 

The fields will appear with the watermark text that was set up as placeholders to guide the user on what to enter. 

 

 

 

 

Enter the relevant details in the custom fields and click Save. See the screen below for reference:

 

 

 

The recorded details will then appear in the Custom Fields panel. You can edit them later by clicking the Edit button again if needed.
