Group Administrator Permissions and Access

Users assigned as Group Administrators can access the following:

 

1. Settings & Directories

  • Specific to Individual for all users
  • Group Level Settings & Directories 

2. Calendar Settings

  • Adding Clinicians
  • Adding Appointment Types
  • Configuring the Calendar for the group

3. Audit Log

  • All audited actions taken by any user


1. Group Administrator access in Settings & Directories:

Group Administrators can see the Specific to Individual tab for each user within the practice. This allows them to make updates to individual user accounts other than their own. This can include: setting up Billing Rates, Supervisors, ICD-10 Code shortlist, Reminders and review content that has been deleted by each user. They will also be able to access the Group Level Settings & Directories.

 

 

The Sites/Letterheads tab will be used to populate the letterhead on Notes and for Billing purposes.

 

 

The Service/Mod Codes tab allows codes to be added to the Practice Short List. The content here will allow a Group Administrator or an individual user to populate these codes in their Billing Rates tab in the Specific to Individual Settings.

  

 

The Lab Req Protocols tab allow your practice to set up labs to be ordered together without having to manually enter them each time they are ordered. The image below shows an example of how this function works, but is not intended to be a recommendation. 

 

 

The Medication Protocols tab allow your practice to set up medication orders to use for all or some of your patients without having to manually enter them for each patient. 

 

 

The Provider Directory tab allows your practice to store contact information for providers that are not with your practice that you may refer patients to, or need to send records to.

 

 

The Insur Payers tab allows your practice maintain a list of payers that you work with. This area allows updates to be made to the payer that will affect all patients that have that payer selected in their Insurance Info tab in Demographics.

  

 

The Therapy Groups tab allows your practice to manage Therapy Groups outside of the area where Group Therapy Notes are documented. 

 

 

The Group Rosters tab allows your practice to establish and manage lists of patients that can be added to groups all at once.  

  

 

The Formats tab allows a Group Administrator to set the Finished Note formatting for the whole group.

 

 

The MCM Auth tab will show all of the Managed Care Authorizations that are currently listed for your practice.

  

 

The Accounts tab allows you to set up Payment/Adjustment codes to be used within your practice in the Codes subtab.

 

 

The Statement Settings Options subtab allows control of statements. This section is broken into Account Default (for individual statements generated from a patient account) and Batch Default (for statements generated using the Batch Statements option).

 

 

 

  

 

The Calendar tab allows a Group Administrator to access some of the calendar settings for the group. There are additional options that will be covered relating to the Calendar in the next section of this guide.

 

 

The Integrations tab allows Group Administrators to enter content for Kno2, BillFlash and Stripe integrations. 

 

 

The More tab has several subtabs. The first being Site Staff. Group Administrators can assign the staff at their practice to specific sites which will prevent them form seeing patients that are not assigned to the same sites they are. 

 

 

The MAR tab will only be used by practices that have the MAR enabled and have had MAR specific training. MAR is typically used primarily in inpatient facilities.

 

 

The Miscellaneous Rules tab will be used by Group Administrators to set up various options for your practice. 

 

 

The Claim Templates tab will only be used by practices that are using UB04 billing. This type of billing does need to be enabled for your practice and UB04 specific training is required for use.  

 

 

 

2. Group Administrator Access in the Calendar:

Within the Calendar the Group Administrator has additional options within the Settings. Click on the Settings Gear to access the Settings. The highlighted buttons shows are only available to Group Administrators.

 

 

Select Group Options allows a Group Administrator to set the time scale, start and end times for the whole practice calendar, set up options to warn or prevent double scheduling.

 

 

Set Up Clinicians allows a Group Administrator to add clinicians or make updates to existing entries in the Calendar.

 

 

 

Set Up Appointment types allows a Group Administrator to add or edit appointment types to be used by the practice. 

 

 

These options look a bit different in the Legacy Calendar. There is a Settings button here.

3. Group Administrator Access in the Audit Log: 

Group Administrators can see actions taken by all users in the Audit Log. To access the Audit Log, click on the Reports Menu at the top of the screen and select the Audit Log.

 

 

When in the Audit Log, click on the 'User Name' field on the far right to populate a list of users to select from. If you would like to see actions taken by all users, leave this field blank.
