Practice Management Updates

Calendar: General Appointment Report

A known limitation in the new and "legacy" calendar General Appointment Report printout has been resolved. The report will now list multiple clinicians and/or clients with client-specific fields (date of birth, account balances, etc) hidden when more than one client is in a scheduled appointment. Previously only one client from the group appointment was displayed within this report.

Calendar: Default Location

Calendar settings have been updated in multiple locations to now include a designated Default Location by group or individual user. When a default location is set, it will auto-populate in Event Details when creating an appointment. Example: A therapist sets their default location to a Telehealth site. When scheduling an appointment in their calendar, the location will auto-populate the Telehealth location. An individual's set Default Location will override the group-level Default Location.

The following areas have been updated to include this new field:

Individual Settings & Directories > Personal Info > Calendar Options
Group Level Settings & Directories > Calendar (group administrators only)
Calendar > Settings and Options > Select Group Options (group administrators only)
Calendar > Settings and Options > Select My Options

Security Center: Permissions Log

For Security Administrators, the user-specific Audit Log and Permissions Change Log in the Security Center have been updated to reflect when changes have been made to certain fields, including changing modifications made to names or credentials, access, and permission changes, enabling Telehealth access, and more.

Patient Accounts

The Deductible display field in Patient Accounts has been updated to ensure that monetary amounts in the thousands and tens of thousands are properly displayed to the user. Previously, when a deductible amount was too large to be displayed, the user was presented with a ? instead.

Billing/Productivity Report

In this update, we have added Bill Under Supervisor as an exportable option in the Billing/Productivity report. If a note/claim is set with a Bill Under Supervisor, this information will be contained in the exported report.

Electronic Billing (Professional Claims)

A new value (9 - HMO Medicare Risk) was added to the "Insurance Type Other" field for populating the Claim Filing Indicator Code in the Subscriber Information Loop (SBR09) in ANSI 837 claims.

New Professional ANSI Rule

We have expanded the functionality of the (professional claims) ANSI rule Remove Payer Name from Subscriber Loop to ensure it applies correctly with the destination payer for secondary claims.

BillFlash

An improvement to the BillFlash interface has been included in this release. Users will see a pop-out window indicating "BillFlash Processing has completed" upon returning from the BillFlash integrated interface, initiating copay payments, as well as collecting pre-payments in Patient Accounts.

Stripe

A slight adjustment has been made to the textual message content displayed to a client when they receive a Stripe payment request via ICANotes. Previously the text would display the Site Name of the chosen site or facility. With this update, instead of displaying the Site Name the text will now display the full Facility Name as entered in Sites/Letterheads. This update applies to both email and text message requests.

Clinical Updates

Vital Signs

We have added Head Circumference (in centimeters) to the vital signs entry screen within the work areas of a progress note. This measurement is intended for children ages 0-3. The vitals log, whether accessed from the chart face or from the vitals entry screen, now includes a column for Head Circumference.

PRP Complete Evaluation (HPI)

We have added a new group rule, New PRP CE HPI Work Area. When enabled, if a user with the counselor discipline creates a new Complete Evaluation they will give given the option to use the PRP version of History of Present Illness (HPI) vs. the usual therapist HPI. This group rule is used in conjunction with the "New Therapist CE HPI Work Area" rule. Security Administrators can request this rule be enabled by reaching out to Support via ticket@icanotes.com or by calling 443-569-8778.

Therapy Groups

In the Therapy Groups module when compiling a set of group notes, you will now have the option – when reviewing the work areas of the group therapy note – to make modifications to the service code work areas, and to omit the note from records requests. This applies whether you are using the compiling process to pause and review work areas, or you are accessing the work areas of a note compiled from the Therapy Groups module.
