Overview
ICANotes+ version 9.0 brings new features and improvements to enhance functionality and user experience.
The Group Rosters tab is now available under the Therapy Groups section in the left sidebar. You can view, create, and manage group rosters directly from this section. This enhancement streamlines roster management and makes it easier to assign participants to therapy group sessions.
Key Enhancements

A new Group Rosters tab is now available under Therapy Groups on the left sidebar.

Users can view all rosters created for the practice and create new rosters directly from this tab.

The Create Group Roster button allows users to create rosters in the same way as on the Settings > Practice Settings > Therapy Groups page.

Rosters remain synchronized between Settings and the Therapy Groups > Group Roster tab. Any updates made in one location automatically reflect in the other.
Deleted rosters can no longer be selected for new sessions. However, existing sessions linked to those rosters remain unaffected.
Participant updates in a roster apply only to new sessions and do not affect previously created sessions.
Create a Group Roster from Therapy Groups
From the left sidebar, navigate to More > Therapy Groups. Locate the new Group Rosters tab as shown below:
In the Group Rosters tab, click Create Group Roster.
Add the desired participants to the roster, then click Save.
Assign Permissions for Group Rosters
Access to the Group Rosters tab depends on user permissions:
View Therapy Groups and Rosters: Allows viewing all rosters in the practice.
Create Therapy Groups and Rosters: Enables the Create Group Roster button.
Edit Therapy Groups and Rosters: Allows editing existing rosters.
Deactivate Therapy Groups or Delete Group Rosters: Allows deactivating or deleting rosters.
To assign permissions for group rosters, navigate to Settings > Practice Settings > Roles & Permissions > Edit Role > Expand the Therapy Groups and Rosters section.
Users without the appropriate permissions will not be able to create, view, edit, or delete group rosters.
If a user doesn’t have the required permission, a tooltip appears when they hover the mouse over the action button.
Select a Group Roster When Creating a Session
Once you have created a roster and added the desired participants, create a new session from the Therapy Groups tab.
When creating a session, select the desired roster from the Group Roster dropdown and click Save.
You can view the participants added to the roster in the right pane.
Status Added to Diagnosis Codes
A new Status column has been added to diagnosis codes. The following statuses can be assigned:
- Active
- Resolved
- Chronic
- Partial Remission
- Full Remission
- Maintenance Therapy, In Remission
- Relapse
- Inactive
- Recurrence
- Provisional
In the following areas of the application, only Active, Chronic, Partial Remission, Relapse, Recurrence, and Provisional statuses will appear. Codes with other statuses will be excluded:
- Compiled Note
- Chart Face
- Carry Forwarded to Next Note
- Claims (Unbilled Encounters tab)
- Client Statements
- Labs Requisitions
- Superbill
In the following areas of the application, all the statuses will appear.
- Treatment Plan
- Discharge Summary
- Clinical Summary
Below is an example of the Chart Face, where only diagnosis codes with the allowed statuses are displayed:
Diagnosis codes with other statuses are still available on the note but are excluded from the above features:
Permission to Access Unapplied Payments Report
You can now manage access to the Unapplied Payments Report through a new permission available under Settings > Practice Settings > Roles and Permissions. By default, this permission is enabled for all roles. You can remove it for any roles that should not have access to the report.
To remove access,
- From the left sidebar, select Settings.
- Go to Practice Settings > Roles and Permissions.
- Create a new role or edit an existing role.
- Expand the Reports section.
- Clear the Access the Unapplied Payments Report checkbox.
Enhanced Payments/Adjustments Report
The Payments/Adjustments Report has been updated to improve accuracy and clarity in reporting client and insurance transactions.
Column Updates
- Total Pd has been replaced with:
- Client Pd – displays client payment amounts.
- Ins Pd – displays insurance payment amounts.
- Total Adj has been replaced with:
- Client Adj – displays client adjustment amounts.
- Ins Adj – displays insurance adjustment amounts.
- Changes apply to both the UI and exported reports.
- The new columns (Client Payment, Client Adjustment, Insurance Payment, Insurance Adjustment) populate only for the corresponding transaction type.
- Previously, columns populated if any related transaction type existed on the encounter, which could appear as duplicate entries.
- Report totals now include each payment or adjustment only once per unique transaction type.

New Filter: Include Encounters Without Payments
- A new filter allows including encounters with no payments.
- Filter values: Yes or No (default: No).
- Selecting Yes includes all encounters within the Encounter Start Date and Encounter End Date, including denials (insurance adjustments with $0 payment amounts).
- The filter is applicable only when Payment Start/End Date, Posted Start/End Date, and Transaction Type filters are not in use.
These updates provide more precise reporting and eliminate confusion from duplicated payment or adjustment entries.
New Option to Check Eligibility Using Provider NPI
You can now check insurance eligibility requests initiated by solo providers in addition to those requested by the practice.
A new Information Receiver NPI (Eligibility) field has been added to the insurance settings with two options:
- Practice NPI
- Individual NPI
When you select Individual NPI, the client’s principal clinician’s NPI is transmitted in the eligibility request.
To configure this setting:
- Go to Settings > Practice Settings > Payer Settings > Edit Insurance.
- Locate the new Information Receiver NPI (Eligibility) field.
- To send eligibility requests from the practice, select Practice NPI.
- To send eligibility requests from the provider, select Individual NPI (the client’s principal clinician’s NPI will be sent to the payer).
When checking a client’s insurance eligibility, a notification appears indicating that eligibility was checked for the provider.
Enhanced Flexibility for Editing Client Balances
Previously, client balances could not be edited once an insurance or client payment was posted. With this update, you can now edit the client balance even after payments have been posted.
Earlier, you had to refund insurance payments or reverse insurance adjustments to modify the client balance. This enhancement eliminates that restriction, making balance adjustments more flexible and efficient.
