Admissions Administrator Role

ICANotes has added the Admissions Administrator role.

A Security Administrator can select this option in the Security Center


 

 
Under what circumstances might this happen?

If demographic patient data is received from an integrated third party (for example, lab integration), the data automatically merges into the demographic field in ICANotes as a new patient.

Sometimes, however, the patient data is entered into ICANotes first and when the data from the third party merges into ICANotes you will now have two charts with different medical records for your patient. This all happens "behind the scenes."

If this does occur, the patient will have duplicate charts and medical record numbers. Upon logging in, the Admission Administrator will be automatically shown a screen where he/she will have the ability to choose the correct patient medical record to be displayed in ICANotes.  This will be the data generated from the integrated third party and not ICANotes.  Once this selection is made, the issue is resolved and you may move forward with your chart.
 
When the Admission Administrator logs in and sees a screen like this, he/she will have the ability to reconcile which patient chart to use in ICANotes by selecting MATCH. The easiest way to match correctly is to select the patient medical record number generated by the integrated third party.

Note: The Admissions Admin screen does not list all the patients needing to be reconciled, it only shows the first one. The Admissions Administrator needs to process them in order to get to any patient of interest.
