ICANotes Updates for July 12, 2021   Changes made to ICANotes in our July 12, 2021 release are described below. Please call ICANotes Support at 443-569-8778 if you have any questions or visit our HIPAA-compliant Support Portal. You can also text our Support Team at 866-301-0085.   Practice Management Updates     2-Factor Authentication ICANotes is rolling out 2-Factor Authentication ("2FA") to enhance security. Security Administrators interested in enabling this feature for their account should contact ICANotes Support for assistance. Once a group is enabled for 2-Factor Authentication, any new users added to the account will have 2FA enabled by the next business day. When enabled, all active users from that group will be required to log in via the TSPlus or "web-based" login at https://ehr.icanotes.com. A second personal device such as a phone or tablet will be required for installing a supported 2FA application in order to login to ICANotes. For more information, please refer to our Knowledge Base.      Custom Demographic Fields A new Custom Fields option has been added to patient Demographics. This option allows for the creation of five custom fields that can be labeled according to the needs of the group. The labels for these fields can be set by a group administrator in Group Level Settings and Directories > Formats. Each custom label is limited to 40 characters, and text contained within each field is limited to 999 characters. These custom fields are included as options when exporting from the Clinical/Demographic Search report. For more information, please refer to this Knowledge Base article.      Documents/Upload Website Patient documentation older than three years is no longer visible on upload.icanotes.com. Documents older than three years can be viewed from the Documents tab on a chart, or by logging in with your credentials at https://backup.icanotes.com. The Upload Site has been updated to reflect this change with the following message above the patient name search bar: Documents older than three years can be viewed from the Documents tab in ICANotes or backup.icanotes.com.      Reports The Clinical/Demographic Search Report has been updated to include the following fields for custom exports: Emergency Contact Name Room Number Custom Note Fields The following fields have been added as options when exporting data from Patient Accounts reports: Check Payer Check Amount     Managed Care Authorizations A new group rule has been added - Set Authorizations by Service Code - which, when enabled, will allow a Managed Care Authorization number to be linked to a specific service code. When the specified service code is entered into a note, the linked authorization number will automatically populate in the MCM Number field within the note work areas. Security Administrators looking to enable this rule should please reach out to ICANotes Support. For more details about this new group rule, please refer to the Knowledge Base article.      Settings & Directories In Individual Settings and Directories, clicking on the Email field will navigate you to the Security Info page where your email address can be updated and verified as unique. On this screen you can also view/update your Security Questions/Answers and Passcode. Group Administrators are prohibited from modifying email addresses for other users on the account and will encounter an error message when trying to do so.     New Chart Room   Security Administrators can request the New Chart Room to be enabled for their account by reaching out to ICANotes Support at (443) 569-8778 or by emailing ticket@icanotes.com.      July Webinars Our July webinar schedule is now available. Clinical Updates   Verbal Orders When a prescriber approves a verbal order the approval phrase on the Clinical Order Sheet will now say, "Verbal order electronically approved by [name] on [date & time]."     POA Codes A new field has been added to the diagnosis entry pop-up which will allow users to include a Present on Admission (POA) Code.      ASAM/Chemical Dependency Assessment The ASAM linked from the Complete Evaluation has been updated to include the same Recommended Level of Care choices as exist in the current ASAM /Chemical Dependency Assessment. "Out Patient Service" has been updated to "Outpatient Services" in Recommended Level of Care.      Discharge Summary The Discharge Summary has been updated to include two new fields in the Discharge Status & Instructions tab. First, the new Discharge Status option will allow you to select between "Planned Regular," "Unplanned Regular," and "AMA." Second, a new field has been added: If Tobacco User: Prescription provided for cessation medication with options to select "Yes," "Refused," "or "N/A."     NDC Code Entering injection code J7040 in the first service code dropdown field in a note will now prompt the user to include the 11-digit NDC number. For a full list of injectable codes that will prompt for an NDC number, please refer to this Knowledge Base article.      Forms/Assessments These forms and rating scales have been added to the Forms/Assessments section of the program.
