Using In-app Messaging

Overview

The In-app Messaging feature allows practice users to send internal messages to other users within the practice. When a new message is received, a notification bubble appears, displaying the number of unread messages. Users can reply to or forward messages as needed. They can also print or delete messages. Additionally, users can map messages to the appropriate client if required. Custom folders can be created to categorize messages, helping users organize their inbox efficiently. The system also allows users to move messages between folders.

Key Features

The In-app Messaging module includes the following features:
  1. Compose new messages
  2. Reply to or forward messages
  3. Print messages
  4. Delete messages
  5. Create custom folders
  6. Move messages to custom folders
  7. Map messages to client records (accessible only if the user has client access per Caseload Security settings)

Access the Messaging and Reminders Feature 

To access the Messaging and Reminders feature, select More in the left sidebar, and then select Messaging and Reminders, as shown in the following image:


Compose a New Message

On the Messaging and Reminders landing page, click the pencil icon, as shown in the following image, to compose a new message.




Clicking the pencil icon opens the following screen, where you can select recipients:


To: Start typing the recipient’s name. A list of matching names appears—select the desired recipient from the list. You can add multiple recipients one after another.
CC: Enter additional recipients in the CC field using the same method.
Subject: Enter the message subject. By default, "New Message" appears as placeholder text. Click the X icon to clear the subject field if needed.

In the message body, type your message, and then click Send.



After sending, the message appears in the Sent tab.

Save Drafts Automatically While Composing

If you choose not to send a message immediately while composing, it is automatically saved as a draft. When you navigate away from the message composition screen to another section within the module, the system saves the message as a draft. These messages can be accessed from the Drafts folder, as shown in the screenshot below:





Reply or Forward Messages

Use the Reply, Reply to All, and Forward buttons at the top to respond to or share received messages with other practice users.
  1. Reply: Click to reply only to the sender.
  2. Reply to All: Click to reply to all recipients of the message.
  3. Forward: Click to send the message to another practice user.


Print a Message

Locate the Print button at the top to print a message.

Print: Click this button to open a print preview, where you can review the message before printing.


Delete Messages

Locate the Delete button at the top. You can delete a single message or multiple messages at once.

To delete messages:

  1. Select one or more messages from the folder.
  2. Click Delete.
  3. Confirm the deletion when prompted.

Create Custom Folders

Create custom folders to organize your inbox and categorize messages according to your needs.

You can create up to five custom folders.

To create a custom folder, click the plus icon next to the Folders section, as shown in the following image:



Clicking the plus icon opens the following screen, where you can create a new custom folder. Enter the folder name, and then click Create Folder.


To rename a folder, click the three dots next to the folder name, and then select Rename Folder.


To delete a folder, click the three dots next to the folder name, and then select Delete.


Move Messages to a Different Folder

You can move messages to your custom folders to better organize your inbox.

To move messages to a different folder:
  1. Select one or more mssages from the list.
  2. Click the dropdown next to the folder icon at the top.
  3. Select the destination folder.



After moving messages to the selected folder, a success message appears, as shown below. You can then find your messages in the chosen folder. See the screens below:





Notification for New Messages

When a new message arrives in your inbox, a notification appears at the top right of your screen. The message icon displays a number in a bubble, indicating the count of new messages.

Unread messages appear in bold font and show a blue bubble next to them in the inbox.


Search Messages Within a Folder

Use the search box at the top to find specific messages within the selected folder. The search will look for your keywords in the message subject and display only the matching results from that folder.


Map Message to a Client

You can associate a message with a specific client while composing it.

To map message to the client, 
  1. Compose a new message.
  2. Enter the recipient details.
  3. Click Map to Client to link the message to the desired client.
Only users with access to the client, as defined by the Caseload Security feature, can map messages to that client.




 When recipients receive the message, they can see the client name linked to it. Clicking Go to Chart redirects them to the client’s chart.



When redirected to the client’s chart, recipients can click the Go to Messages button to return to the message.
