Introducing the New Claim Edit and Submission Workflow

Introducing the New Claim Edit and Submission Workflow

Overview

We're simplifying claim management in Billing Worklist. With the upcoming ICANotes+ v10.3.0 release, the Unbilled Encounters and Billed Encounters tabs will be replaced by a single Claims tab.

The new workflow lets you review claim details, identify potential errors, and correct them before submitting claims to payers. Validating claims before submission can help reduce the likelihood of claim rejections and ensure that required information is addressed before the claim is sent.

InfoYour existing claim data will carry over automatically. No data is lost.

For detailed instructions, see the articles linked in the Learn more section at the end of this article.

One place to manage claims

The new Claims tab brings your claim workflow together in one place. Use the status buckets at the top of the page to quickly find claims that need attention:

  • Not Generated — Claims that have not yet been generated.
  • Error — Claims with validation errors that need to be corrected.
  • Ready — Claims that are ready for submission or need to be resubmitted.
  • Billed — Claims that have been successfully submitted.

Edit and submit claims from one place

From the Claims tab, you can now:

  • Edit claim details and correct errors before submission.
  • Review and submit multiple claims more efficiently.
  • Validate claims to identify common errors before submission.
  • Submit claims to primary, secondary, and tertiary payers.
  • Rebill claims when a corrected claim needs to be submitted.
  • View claim history to review actions and changes recorded for a claim.

Understanding Claim Data in the Claims Tab

The Claims tab displays claim information after payer rules are applied. When you generate a claim, ICANotes+ applies the configured payer rules, which may change fields such as the rendering provider, billing provider, and modifiers. These changes are reflected in the Claims table.

As a result, some claim details may differ from the information recorded in the clinical note. For example, the Rendering Provider column may display a supervising or billing provider instead of the clinician who performed the service. This is expected when a payer rule changes the rendering provider.

To find claims based on the clinician who performed the service, use the Clinician filter. To find claims based on the clinician who signed the associated clinical note, use the Signed By filter.
