ICANotes Exports
Whenever you export a report from ICANotes, that report will be available for download in the ICANotes Upload Site!
Please note the following:
If you are a Security Administrator or Group Administrator, you will be able to see and download all user exported reports.
If you are a non-administrator, you will just see your own exported reports or exported reports shared with you.
Users are able to share reports with other users in group.
Users are able to see the download history of exported reports.
Exported reports remain available for ten calendar days.
1. From any report, click the Export button.
2. You will receive this message. Click the OK button.
3. Go to the Upload Site and log in using your ICANotes user name and password
4. Click the Exports link from the menu on the left.
5. Find your report (which is in order of when the report was exported) and click 'EXCEL' or 'CSV' to download the report in your preferred format.
6. Your report will download.
7. Open the downloaded file. It will open in an Excel worksheet.
Sharing an Exported Report
If you created an exported report, you can share the report with any user in your group.
1. Click the icon.
2. Select a user from the dropdown menu by clicking the button.
3. Once a user has been selected, click the button to add.
5. If you added a user in error, click the icon by the user's name to delete that user from the Shared With selection.
6. Return to the Exports list by clicking the icon in the top left of the window.
Download History of Exported Reports
If you created an exported report, you can view the download history.
Click the icon.
Frequently Asked Questions
Will Group Administrators be the only to see all of the exports or will everyone be able to?
Security Administrators and Group Administrators will see everything.
Can a Group Administrator or Security Administrator share someone else's report with a non-administrator?
Only the user who created the exported report has the ability to share the report.
Will Security Administrators be able to see who shared the exported report?
Only the user who created the report will be able to share it. The Security and Group Administrators can monitor who the report was shared with by clicking the icon next to the report.
There are permissions that prevent users from logging into the Upload Site, would he/she have to refer to his/her administrator?
There are no additional permissions at this time. If the user does not have access to the Upload Site, he/she will be unable to see exported reports.
Do the "Manage Folders on Uploads Site" or "Access All Files on Uploads Site" user permissions have any control over what exported reports are seen?
These two permissions do not control the Exports. Only the Security and Group Administrators have access to all exported reports. If a user has been restricted from accessing the Uploads Site, he/she will not be able to retrieve exports. If you would like to have the user able to access the Uploads Site (if it had been previously restricted), a Security Administrator will need to contact Support.
Will users only be able to see their own exports?
Yes, users who are not administrators will only see his/her own exported reports and exported reports that were shared with him/her.
Can I clear the export list on the upload site?
At this time, there is no ability to clear the export list. All items on the list remains available for ten days.
I just want to download the exported reports I just created, can I select just those?
Yes, click the 'Download New' link at the bottom of the window.
Can I download more than one exported report at a time?
You can download all of the exported reports shown on your list by clicking the Download All link at the bottom of the window.
Can I name the file?
At this time, the file names are default with a timestamp.
Do I have to use Excel to open the reports?
All exported reports will be in .csv or EXCEL file format. This file format can be opened in Excel, Google Sheets, OpenOffice, and and various others. In the Downloads folder (or wherever your downloads go to), right click on the file and select Open With. Choose the application you want to use to open the file.
How can I open in Google Sheets?
Follow the steps to download the exported report as shown in the beginning (steps 1 through 6).
1. Open Google Drive in a web browser.
2. Click the icon.
3. Choose the 'File Upload' option
4. Select your downloaded export from the Downloads folder (or whichever folder you have saved the export to!)
5. Click 'Open'. A message will appear in the lower right-hand corner when the file is uploaded
6. Click on the file and it will open to preview
7. To open it in a modifiable view, click on 'Open With' and choose 'Google Sheets'
This will bring the document into a modifiable view where the data can be edited or rearranged however you see fit.
